of Position:
The Sales and Key Accounts Coordinator Job purpose is to:
• Manage the sales of products/services to consumers and maintain good customer relationships.
• Coordinating with other departments and providing support to managers & employees, assisting in daily office needs & managing the Clients general administrative duties.
Duties & Responsibilities:
The Employee's detailed responsibilities shall include, but not be limited to, the following:
• Managing and coordinating sales activities.
• Offering after-sales support to customers.
• Handling orders and preparing quotations for customers.
• Keeping customers updated with relevant equipment, product, and service information.
• Creating, reviewing, coordinating, and maintaining sales, revenue, and equipment utilization reports and records.
• Processing orders and local payment requests.
• Coordinating shipments, documentation, and communication with both clients and carriers.
• Implementing and monitoring programs as directed by Management and ensuring their successful completion.
• Acting as the primary focal point for assigned key accounts and maintaining professional relationships with clients.
• Coordinating client requests and ensuring timely communication between clients and internal departments.
• Tracking client contractual obligations and service delivery requirements, ensuring compliance with agreed service levels.
• Preparing commercial proposals, quotations, tenders, and supporting documentation as directed by Management.
• Maintaining and updating customer databases, contract registers, and opportunity pipelines.
• Monitoring equipment utilization and identifying opportunities for increased equipment deployment and revenue generation.
• Supporting the Country Manager and Operations Team with monthly revenue forecasting and business development initiatives.
• Coordinating mobilization and demobilization requirements for personnel, equipment, and project resources.
• Following up on outstanding quotations, purchase orders, invoices, and customer payments in coordination with the Finance Department.
• Preparing weekly and monthly management reports, including sales performance, customer activity, revenue, and equipment utilization reports.
• Coordinating client meetings, site visits, and operational reviews, ensuring action items are tracked and closed out.
• Maintaining accurate records of customer correspondence, contracts, certifications, and project documentation.
• Supporting client onboarding and ensuring all required documentation is submitted, maintained, and updated.
• Assisting with the preparation and submission of prequalification, tender, and vendor registration documentation.
• Liaising with HSSEQ, Operations, Finance, Human Resources, and Procurement departments to ensure seamless service delivery to clients.
• Identifying client concerns, operational constraints, and growth opportunities and escalating them to Management where required.
• Supporting customer satisfaction initiatives and gathering client feedback to improve service delivery.
• Assisting in maintaining ISO management system requirements relevant to customer service, document control, and business processes.
• Ensuring confidentiality of all commercial, contractual, operational, and client information.
• Demonstrating commercial awareness and sound business acumen in the execution of duties.
• Applying strong stakeholder and relationship management skills when dealing with clients, suppliers, and colleagues.
• Managing multiple priorities effectively and performing under pressure.
• Utilizing strong negotiation, communication, report-writing, and presentation skills.
• Maintaining a client-focused approach with a high level of accuracy and attention to detail.
• Applying knowledge of procurement strategies and procurement processes where required.
Experience & Education Requirements
• Bachelor’s degree with at least 3 to 5 years in marketing or business administration
• In-depth knowledge of sales and marketing techniques
• Excellent leadership and management skills
• Requires strong communication skills, both verbal & written in English & Portuguese, organizational skills, both analytical & problem solving, & the ability to work with confidential documents.
• Excellent sales, and customer service skills.
• Computer literacy and working knowledge of industry trends and regulations.
