Renaissance Patriot Place, a Colwen Hotels Property, is seeking an experienced and well-organized Sales and Catering Coordinator, to provide the necessary support to the Sales Team. The successful candidate will become the point of reference for clients and guests, by managing room blocks, groups, event details and billing. General Responsibilities:

  • Assists the sales team with leads, group detailing, events, site tours, event detailing & event execution
  • Coordinate the sales team by managing room blocks, groups, and schedules, distributes BEO’s, group and event billing, organize filing, and communicating relevant information
  • Creates room blocks as outlined in contract observing special room concessions, rates and commission (IATA).
  • Assists with group reservations as needed.
  • Monitors and manages room blocks according to contract utilizing group history reports and information given by clients to maximize hotel revenue, making adjustments as necessary.
  • Ensure accuracy and timeliness of sales-related material
  • Respond to client needs throughout the sales process
  • Coordinate with other departments as necessary
  • Responsible for sales office coverage
  • Provide administrative support to the sales team including, but not limited to, answering phones, correspondence, assigning activities, assisting in site tours and reports in a timely and professional manner
  • Assists the Sales Team with day of coordination, and execution for groups, meetings and events
  • Prepare written correspondence, group resume, weekly BEO’s and reports and other reports as requested by the sales team
  • Process Rewards points for group contacts post-event or group.
  • Must be able to show initiative including guests and operation needs
  • Participate in proactive selling efforts when assigned, such as sales blitz, phone marketing, email marketing and social media activities
  • Perform other duties as assigned

Requirements:

  • Previous related experience, hotel preferred
  • Previous Customer Service a plus
  • Organized, strong ability to multi-task, detail-oriented
  • Energetic and highly personable
  • Excellent verbal and written communication skills (grammar, punctuation, spelling)

  • Ability to compile, analyze and communicate data
  • Excellent interpersonal and customer service skills
  • Ability to deal with difficult guests and solve problems
  • Ability to work independently, self-motivated
  • Ability to stay calm under pressure
  • Excellent time management
  • Intermediate to advanced computer skills, familiar with common computer software programs, and ability to learn new software programs
  • Ability to worked varied hours, based on business needs

Compensation:

Hourly Range: $23 - $24
