
Ownership and key responsibilities
Owns the administrative sales-and-administration process for the assigned customer portfolio. Ensures customer orders are accurately registered in the ERP system, obtains confirmed fulfilment dates from Production Planning, and communicates confirmed information to customers. Maintains the agreed orderbook and customer shipping list, coordinates information across internal functions, and initiates internal escalation when a risk or discrepancy may affect order fulfilment. This is not an active-sales role.
Main Authorities and Missions
•Receiving customer orders; checking their completeness and entering them into the ERP system in line with the applicable procedure
•Cooperation with Production Planning to obtain a confirmed order-fulfilment date
•Issuing and sending order acknowledgements and confirmed fulfilment dates to customers
•Reviewing and confirming the orderbook with customers; clarifying discrepancies in quantities, dates and reference data
•Preparing, updating and managing the customer shipping list in line with the agreed communication process
•Providing customers with current status information based on approved internal data
•Maintaining the correspondence and history of arrangements for the assigned customer portfolio
•Internal escalation of risks, delays and inconsistencies affecting customer order fulfilment to the relevant process owner
•Cooperation with Planning, Supply Chain, Logistics, Finance and Quality to obtain and communicate reliable information
Requirements
•Higher education (technical, logistics, business or related profile preferred)
•Experience in customer service, order administration or sales administration
•Experience of working with an ERP system
•Knowledge of MS Office, especially Excel
•Communicative English
•Accuracy, organisation, reliability, accountability and timely execution
•Ability to work in a team and communicate clearly with customers and internal stakeholders
