Schedule/Hours: Mon–Fri, 8:00 AM–5:00 PM

POSITION TITLE & DESCRIPTION

The Sales Administrator is responsible for supporting the commercial sales organization through quote and proposal development, and administrative coordination. This role works closely with sales representatives, service teams, and internal departments to help opportunities move efficiently through the sales process and to create additional selling capacity for the sales team.

Success in this role means:

· Maintaining accurate customer, equipment, quotes, and opportunity information.

· Providing timely quotes, proposals, pricing, and renewal support to sales representatives.

· Maintaining administrative controls that support accurate invoicing and reporting.

· Improving sales productivity through dependable follow-up and organized execution.

KEY RESPONSIBILITIES

  • Sales & Quote Support

· Assist sales representatives with quote data entry and quote development.

· Prepare, update, format, and organize proposals, pricing sheets, and supporting documentation.

· Perform sales support activities and complete special projects as assigned.

· Assist with data entry of capital expenditure plans under the guidance of Account Managers.

· Maintain organized administrative records

· Maintain accurate customer, quote, agreement, and opportunity information in company systems.

· Identify opportunities to improve sales administration, data accuracy, responsiveness, and workflow consistency.

Requirements

PREFERRED EXPERIENCE & QUALIFICATIONS

Required:

· Proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint.

· Excellent organizational, written, verbal, and customer service abilities.

· Strong attention to detail with the ability to manage multiple priorities and deadlines.

Preferred:

· Experience supporting HVAC, mechanical, construction, plumbing, controls, or service operations.

This position is primarily office-based and requires extended periods of sitting, computer work, and communication by phone and email. The role requires regular use of standard office equipment and occasional movement throughout the office or operational areas to coordinate with team members.
