Why This Role Matters

The primary function of this role is toproject managesales. This includes monitoring and tracking all activities and elements related to incoming property and sale processing. The Sale Coordinator manages the catalogue production process, ensures deadlines are met, manages client paperwork andchargesand ensures compliance requirements are met. The Sale Coordinator is the primary contact for sales with Operations. The Sale Coordinator alsoacts as client liaison to gather or dispatch consignment and property related information.

How You Will Make An Impact

  • Verify consignment details - pre-sale to ensure accuracy, liaise with clients as needed for all consignment related information, including “Know Your Client”

  • Manage catalogue production process including monitoring progress of cataloguing, photography, essay writing,lottingup, compliance,rightsand permissions to meet deadlines; act as main point of contact and liaison with photography studio, productionteamsand Specialists

  • Act as liaison to Operations for sale view and set up and prepare relevant assets, asrequired

  • Track and ensure execution of seller consignment promises

  • Request seller agreement and stock order creation and manage and track status of consignment paperwork to ensure compliance requirements are met andrequiredrecords are maintained

  • Create shipping requests, obtain clientapprovalsand flag need for export licenses,

  • Proactively track receipt of property and follow-up on open issues and missing items

  • Manage Expertise, Framing and Restoration needs for sale including quote requests, clientcommunicationsand related client charges, and obtaining necessary cost approvals

  • Request Property Movement including site transfers, local transfers,tempreleases, transfer to third party, and hand carries

  • Request client charge creation and regularly review system data to ensureaccuratereporting

  • Chair Sale Update Meetings with Specialists and Cataloguers as assigned by the Head of Sale Management

  • Manage sale activities including managing reserves, client views, condition report dispatch, client interest lists, bids, and sale ticketing requests; troubleshoot sale related issues as they arise

  • Telephone bidding

  • Liaise with Business Support Group and Post-Sale Services team asrequired

  • Answer and screen incoming phone calls

What You Will Bring To The Team

  • Undergraduate degreerequired

  • 2+ years’ work experience

  • Exceptional client service skills

  • Strong project management skills including ability to multi-task, prioritize and manage multiple processes

  • Strong attention to detail and follow-up skills

  • Excellent communication and interpersonal skills, including superior written and spoken communication

  • Ability to work collaboratively across multiple groups and sites
