Job Description

Main Responsibilities

1. Conduct regular maintenance and management of office facilities and assets.

2. Handle and manage company licensing and permits for Head Office.

3. Process procurement of office needs through the E-Procurement system.gapap

4. Register and manage vendors in the Vendor Management System (VMS).

5. Organize and archive all company agreement documents and administrative files.

6. Manage office and vehicle rental processes and ensure operational vehicles are well-maintained.

7. Purchase and distribute daily operational supplies (stationery, office needs, etc.).

8. Handle petty cash usage and internal reimbursement processes.

9. Ensure the fulfillment of all daily operational supply requests and purchases for employees.


General Responsibilities
1. Ensure the implementation of an Integrated Management System, including the identification, documentation, and control of risks in the relevant department's work area.
2. Foster and ensure the commitment of every team member to understand and adhere to all applicable Integrated Management System requirements.
3. Be willing to participate in the investigation process of accidents, incidents, or actions that may lead to incidents caused by unsafe actions or unsafe conditions, including providing accurate information and reports based on known facts.
4. Be willing to engage in the information security control process applied to protect the information assets and information processing assets owned and/or managed by the Company from threats to confidentiality, integrity, and availability.

Qualifications
1. Minimum Diploma (D3) or Bachelor's degree (S1), preferably in Business Administration, Management, or other related fields.

2. Good knowledge of general office administration.
3. Basic knowledge of building maintenance, vendor management, and company permits is a plus.
4. Proficient in Microsoft Office (Excel, Word, PowerPoint).

5. Good communication and interpersonal skills.
6. Proficient in English (written and verbal).
7. Possess a valid driving license (SIM A or C) is an advantage.
8. Honest, responsible, proactive, and able to handle several responsibilities at once.
