Safety Coordinator

Job Description

Position Summary

The Safety Coordinator supports the company’s safety program by assisting with driver training, regulatory compliance, accident documentation, safety meetings, and administrative responsibilities. This position works closely with the Sr. Director of Safety & Quality Assurance to help ensure compliance with company policies and DOT/FMCSA regulations while promoting a positive safety culture.

Reports To

Primary Responsibilities

Driver Support

· Assist with new driver orientation and onboarding.

· Schedule and track required safety training.

· Help coordinate ride-alongs and driver evaluations.

· Monitor driver safety events through telematics and camera systems.

· Follow up with drivers on required documentation and corrective actions.

Accident Administration

· Assist with accident reporting and documentation.

· Collect driver statements and supporting information.

· Organize accident files, photos, and video.

· Help prepare accident summaries for review.

· Track accident data and maintain records.

Regulatory Compliance

Assist in maintaining compliance with:

· FMCSA regulations

· DOT regulations

· Driver Qualification Files

· Medical certificate tracking

· CDL expiration tracking

· Annual MVR reviews

· Hours of Service documentation

· Drug and Alcohol Program requirements

Driver Qualification Files

Maintain organized and accurate driver files, including:

· Employment documents

· CDL copies

· Medical certificates

· MVRs

· Training records

· Road test documentation

· Annual reviews

· License expiration tracking

Safety Training

Assist with coordinating and documenting:

· New Driver Orientation

· Monthly safety meetings

· Defensive driving training

· Customer service training

· ADA training

· Company policy updates

· Annual refresher training

Maintain attendance records and training documentation.

Safety Meetings

· Prepare meeting materials.

· Track attendance.

· Record meeting minutes.

· Follow up on assigned action items.

· Assist with preparing monthly safety reports.

Documentation & Reporting

· Maintain safety records and files.

· Track training completion.

· Prepare monthly safety metrics.

· Update spreadsheets and reports.

· Maintain confidential employee information.

Administrative Responsibilities

· Schedule DOT drug and alcohol testing.

· Order safety supplies and training materials.

· Respond to general driver safety questions.

· Support company safety initiatives and programs.

Qualifications

Required

· High school diploma or GED.

· Strong organizational skills.

· Excellent communication skills.

· Proficiency with Microsoft Office (Word, Excel, Outlook).

· Ability to maintain confidential information.

· Strong attention to detail.

· Ability to work independently and as part of a team.

Preferred

· Associate degree or coursework in business, transportation, or a related field.

· Experience in transportation, logistics, customer service, or safety administration.

· Familiarity with DOT or FMCSA regulations is helpful but not required.

· Experience using Microsoft Excel and database systems.
