The RN Preference Card Coordinator is responsible for the creation, maintenance, standardization, and ongoing review of surgical preference cards across the health system. This role partners closely with physicians, perioperative clinical leaders, and supply chain teams to ensure preference cards accurately reflect current practice, support patient safety, and optimize cost and operational efficiency.

The coordinator serves as a subject matter expert on preference card integrity and workflow, ensuring that supplies, instruments, equipment, and implants are correctly aligned with surgical procedures and physician preferences across all procedural locations.

Essential Functions:

Preference Card Management

  • In coordination with Service Line Leaders or their designee, create, maintain, review, and update surgical and procedural preference cards for all operating rooms and procedural areas within the health system
  • Ensure preference cards are accurate, complete, standardized where appropriate, and aligned with evidence-based practice and system agreements
  • Perform routine audits and validation of preference cards to ensure continued accuracy and relevance utilizing application automation (Cerner Surginet M-Page) to address additions, deletions, and adjustments to pick and open quantities.

Coordinate preference card updates related to new surgeons, new procedures, product conversions, and technology changes

Clinical & Physician Collaboration

  • Collaborate with surgeons, anesthesiologists, physician leaders, and perioperative nursing staff to validate preferences and workflow needs
  • Serve as a liaison between physicians and operational teams to resolve discrepancies or conflicts within preference cards
  • Support onboarding of new providers by developing and validating new preference cards

Supply Chain & Operational Integration

  • Partner with Supply Chain, Value Analysis, and Materials Management to ensure preference cards align with contracted products and approved items
  • Assist in product standardization initiatives by identifying variation within preference cards
  • Ensure correct supplies, instruments, implants, and equipment are available and accurately reflected to support surgical case readiness
  • Support inventory optimization efforts by eliminating obsolete or duplicate items from preference cards

Data, Systems & Optimization

  • Maintain preference cards within the perioperative information system (e.g., EPIC OpTime, Surginet, Cerner, or equivalent)
  • Analyze preference card data to identify opportunities for efficiency, cost savings, and waste reduction
  • Support case readiness, accuracy of pick lists, and on-time starts through preference card optimization
  • Participate in system-wide perioperative or supply chain improvement initiatives

Governance & Compliance

  • Adhere to health system policies, regulatory requirements, and accreditation standards
  • Support change control processes for preference card updates
  • Participate in committees or workgroups related to perioperative optimization, supply chain integration, and value analysis

  • Assists the organization in maintaining and achieving its goals related to licensure, regulatory, and accreditation standards
  • Maintains effective working relationships, communication and collaborative decision making with medical staff, other departments, leaders, staff and others
  • Implements and supports quality improvement activities for the department/unit
  • Complies with HIPAA privacy and security requirements to maintain confidentiality at all times
  • Maintains compliance with all company policies, procedures and standards of conduct
  • Performs other duties as assigned

Additional Job Description:

Education:

  • Associate’s Degree in Nursing from an accredited nursing program is (required)
  • Bachelor’s Degree in Nursing from an accredited nursing program (preferred)

Experience:

  • Minimum of 3–5 years of experience in perioperative services, surgical services, or supply chain operations

Licensure:

  • Current KY RN licensure or compact license with privileges to work in Kentucky (required)

Certification:

  • AORN (Association of Perioperative Registered Nurses) certification (preferred)
