The Returns Coordinator plays a vital role in restoring value by ensuring imaging parts are received, evaluated, and processed with accuracy and care. Through organized workflows and thoughtful communication, this role helps maintain the integrity of the supply chain and supports teams who serve healthcare partners around the world. By turning returned parts into renewed opportunities, the Returns Coordinator contributes directly to the mission of keeping life-saving imaging equipment moving forward.

Essential Job Duties:

  • Review and validate all return quality claims to ensure proper triage, timely processing, and accurate internal testing.
  • Communicate with vendors and customers to resolve quality claims, negotiate restock fees/credits, and troubleshoot issues.
  • Authorize customer credits and manage exchange-related financials, including deposit credits, refunds, and high-dollar additional bills.
  • Execute and oversee exchange workflows, including reminders, return document generation, vendor exchanges, and stock-check item resolution.
  • Provide customer reporting and facilitate quality review meetings to maintain transparency and support strong relationships.
  • Analyze and update quarterly quality metrics, using insights to identify trends and drive process improvements.
  • Develop and refine quality and parts-validation processes, including models for external customer validation.
  • Driving and vehicle operation are essential functions of this role.

Requirements

  • Analytical and critical-thinking skills to evaluate needs, identify options, solve problems, and negotiate pricing.
  • Proficiency in business tools — Excel, Word, Outlook, internet navigation, document organization, and Salesforce360 (preferred).
  • Ability to work independently, make informed business decisions, manage multiple projects, and meet deadlines.
  • Process and automation mindset, with the ability to develop reporting automations and streamline workflows.
  • Professionalism and integrity, including maintaining confidentiality, fostering teamwork, and treating others with dignity and respect.

Experience and Education Requirements:

Preferred Experience

Education (or equivalent experience)

  • Bachelor’s Degree or equivalent required. Marketing, Finance, Supply Chain, Project Management, General Business, or Management preferred.

Preferred Certifications

Travel Requirements:

Frequent driving 30%+, load, transport, deliver parts/equipment. Meet driver eligibility requirements. Minimum age 21, refer to company vehicle policy.

This role may involve

  • Ability to stand, walk, and move continuously for extended periods.
  • Frequent bending, stooping, reaching, and lifting.
  • Ability to lift, carry, push, and pull items weighing up to 25-75 pounds regularly; heavier lifting may be required with assistance.
  • Manual dexterity for handling tools, equipment, and materials.
  • Ability to operate warehouse equipment (e.g., pallet jacks, forklifts)
  • Visual and auditory ability to operate machinery.
  • Potential exposure to machinery, noise, and hazardous materials. Ability to safely operate and enter/exit vehicles, drive for extended periods and work in varied environmental conditions with potential exposure to machinery, noise, and hazardous materials.
