The Role

As Document Controller within our Decarbonisation (SHDF) team, you will play a key role in supporting the delivery of energy efficiency and retrofit programmes across social housing portfolios. You will ensure project documentation is accurately controlled, compliant, audit‑ready and managed in line with SHDF requirements, company procedures and regulatory standards.

Key Responsibilities

  • Manage project documentation for SHDF funded decarbonisation works, ensuring documents are accurately organised, stored and distributed

  • Administer the Document Management System (DMS), including setting up workflows, managing access permissions and ensuring data security

  • Maintain compliant, audit‑ready records in line with SHDF, PAS 2035, client and internal governance requirements

  • Support project and design teams with document formatting, templates and document control best practices

  • Monitor and control versioning, ensuring teams are working from the latest approved documentation

  • Support reporting requirements for decarbonisation programmes and funding compliance

  • General office duties.

  • Produce weekly summary reports on various project stages

  • Maintain the compliance SharePoint system in accordance with company procedures. Undertake the archiving of completed documents as required.

  • Identify opportunities to improve document control processes and implement best‑practice solutions

Qualifications

  • Experience

  • Previous experience in a Document Controller role within construction, retrofit or social housing environments

  • Experience with EDMS platforms such as Aconex, SharePoint or Asite is preferred but not essential

  • Technical Skills

  • Strong MS Office capability

  • Confident using document management systems and working with structured data

  • Personal Attributes

  • Highly organised with excellent attention to detail

  • Able to manage multiple tasks and priorities in a project environment

  • Strong communication skills with the ability to liaise effectively with design, commercial and delivery teams

  • Proactive problem‑solver with a continuous‑improvement mindset
