Job Description

Position Summary

The Senior Operations Coordinator is responsible for supporting day-to-day operational functions while driving efficiency and consistency across internal processes. This role partners cross-functionally to ensure alignment, streamline workflows, and contribute to overall organizational success.

Key Responsibilities

Team Leadership & Oversight

  • Lead, coach, and support a team of retail coordinators, ensuring accuracy, accountability, and professional development.
  • Prioritize and delegate daily, weekly, and ad hoc responsibilities.
  • Establish clear workflows, monitor performance, and drive continuous improvement.

Retail Special Projects

  • Lead and manage special retail projects, ensuring they are completed on time, within scope, and aligned with company objectives.
  • Oversee the management and installation of UBI devices in current and new retail locations, ensuring seamless integration and functionality.
  • Oversee the company store master, ensuring all data is accurate, up-to-date, and effectively utilized to support retail operations.
  • Oversee NSO (new store opening) and relocation tasks via the weekly Monday board, including the movement of cash and vendor accounts to transition to a relocated or new store.
  • Manage employee incentives and prize programs via Sparkplug platform.
  • Oversee team member contests and spirit weeks, including holiday spirit weeks.
  • Manage vendor services supporting store operations.
  • Oversee the employee uniform embroidery process.
  • Support new store openings, relocations, and special projects.

Debit Terminal & ATM Management

  • Manage relationships with debit terminal processors and ATM providers, overseeing ordering, deployment, installation, and maintenance of hardware and platforms across all retail locations, and providing setup assistance to store teams.
  • Coordinate with vendors and internal teams to ensure timely setup, replacements, and issue resolution.
  • Monitor functionality and uptime, proactively addressing outages or performance issues.
  • Maintain accurate tracking of device inventory, locations, and service needs.

Cash Pickup & Financial Operations Coordination

  • Manage and coordinate cash pickup scheduling and setup across retail locations, including managing the Cash Pick Up vendor platform.
  • Ensure alignment with security, compliance, and operational requirements.
  • Serve as the bridge between retail stores and accounting, managing the retail accounting inbox to troubleshoot and resolve cash-related issues.
  • Conduct bi-weekly audits of store cash trackers and weekly audits of bank reporting for deposit log accuracy.
  • Submit weekly corporate Amex receipts for charges.
  • Send the weekly 5th Meridian Cash Reporting email, weekly 3P Vendor Management/Location Updates, and weekly Accounting/Training Team Management Updates.
  • Identify and resolve gaps or inefficiencies in cash handling workflows.

Menu Accuracy & Compliance

  • Communicate all new pricing to store teams and create deal sheets accordingly, distributing via email and SharePoint.
  • Identify and resolve discrepancies across POS, e-commerce, and marketing platforms.
  • Partner cross-functionally with retail, merchandising, compliance, and marketing teams.
  • Track trends in errors and implement process improvements to reduce recurring issues.

Team Member Engagement

  • Post Thursday night price updates and deal sheets to the Viva Engage platform.
  • Create and distribute the monthly company newsletter, featuring employee spotlights and team member contests and spirit weeks, posting to Viva Engage and sending via email.
  • Create and manage Hype tour prizes and holiday specific team member incentives.
  • Manage reporting for team incentives.
  • Monitor Viva Engage communities to ensure timely, accurate, and professional communication, while encouraging broader team member participation and engagement across the organization.
  • Identify trends, escalate issues, and partner with internal communications on broader messaging needs.
  • Promote engagement best practices and improve knowledge-sharing processes.

Operational Execution & Reporting

  • Prepare and send the weekly leadership deck: reminder sent to leadership on Fridays, with the deck itself sent the following Sunday.
  • Manage ad hoc requests and emerging priorities with a high level of responsiveness.

Qualifications

  • 3+ years of retail operations or training, coordination, or project management experience, including experience managing special projects from conception through completion.
  • Previous experience in retail management a plus.
  • Previous experience in Cannabis industry a plus.
  • Proven ability to manage priorities and lead multiple concurrent workstreams and initiatives.
  • Prior experience leading or mentoring others required.
  • Strong attention to detail and organizational skills.
  • Experience working cross-functionally in a fast-paced environment.
  • Effective communication and problem-solving skills.
  • Experience with POS systems, e-commerce platforms, and/or retail operations software.
  • Proficiency in Microsoft Office Suite, including Excel.
  • Ability to navigate regulatory environments and uphold strict confidentiality standards.

Work Environment

  • Standard remote work environment
  • Occasional onsite travel may be required based on business needs
