Retail Office Manager

What this job involves:

As a Retail Office Manager at JLL, you will serve as the operational backbone of our retail property management team, providing essential administrative support to general managers, operations managers, and on-site personnel. You will act as the primary liaison between client contacts, vendors, and internal teams while overseeing all office administration functions. This position requires someone who thrives in a dynamic environment where multitasking, attention to detail, and exceptional customer service are paramount. You will manage critical processes ranging from payroll and benefits administration to tenant communications and vendor coordination, ensuring seamless daily operations that support both our team and our clients. Expected Compensation: $26.45 - $31.25 per hour

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data

Expected Schedule: Monday - Friday 8:00 AM - 5:00 PM

What your day-to-day will look like:

  • Track and manage vacation, sick time, and personal days for all property employees while maintaining accurate records

  • Coordinate benefit enrollment packages, annual reviews, and audit deadlines, guiding employees through administrative processes

  • Process and organize new hire paperwork and ensure compliance with all onboarding requirements

  • Prepare and submit insurance claim forms, update tenant and vendor certificates of insurance, and maintain organized filing systems

  • Manage incoming and outgoing packages, courier services, faxes, and work order escalation notices while ensuring timely courtesy callbacks for tenant issues

  • Prepare bi-weekly payroll and assist the Accounting team with deadlines, cash receipts, billing adjustments, and invoice processing

  • Oversee worker's compensation claim packages, track contractor certificates of insurance, and assist with building inspections and license renewals

  • Support the Operations Department with vendor contracts, the RFP process, legal correspondence tracking, and construction updates

  • Coordinate tenant communications including move-in orientations, move-out processes, and ongoing relationship management

Required qualifications:

  • High school diploma or equivalent

  • Strong time management skills with the ability to work independently and stay self-motivated without direct supervision

  • Excellent organizational abilities to maintain an efficient workspace and easily understood filing systems

  • Outstanding customer service skills with a friendly, helpful attitude when interacting with tenants, contractors, vendors, and clients

  • Effective written and verbal communication skills to provide thoughtful and detailed information to team members

  • Demonstrated ability to multitask and adapt quickly in a fast-paced retail environment

  • Proficiency with standard office software and technology platforms

Preferred qualifications:

  • Associate degree or higher in business administration, office management, or a related field

  • 1-2 years of practical experience in an office environment, preferably supporting retail or property management operations

  • Previous experience with payroll processing and accounts payable/receivable functions

  • Familiarity with worker's compensation claims and insurance certificate tracking

  • Experience coordinating vendor relationships and managing service contracts
