We are hiring a Restoration Project Coordinator to support our Reconstruction Project Managers and keep reconstruction projects organized, documented, and moving forward. This role requires strong organization, confident communication, and the ability be professional when holding both clients and internal team members accountable professionally.
Responsibilities
· Primary point of contact for clients during reconstruction projects· Provide project updates, request documents, and set clear expectations· Collect and audit daily site reports, photos, and job documentation· Organize and maintain job files in Encircle· Assemble estimates using Xactimate (preferred)· Track contracts, invoices, submittals, approvals, and deadlines· Support invoicing and collection calls (deductibles and balances due)· Coordinate communication with vendors, adjusters, and internal teams
Requirements
· Strong written and verbal communication· Highly organized and detail-oriented· Comfortable with direct conversations and persistent follow-up· Microsoft Office proficiency· Restoration / construction admin experience preferred· Xactimate experience preferred but not required
This Role Requires Backbone (Not Aggression)
We are looking for someone who can be calm, professional, and persistent—even when conversations get uncomfortable.
You must be comfortable saying things like:
· “I can’t invoice this until your daily logs and photos are uploaded.”· “We need your deductible paid before reconstruction can be scheduled.”· “We still need the signed work authorization to proceed.”· “We need the adjuster’s approval in writing before we start this scope.”
If you avoid follow-up, dislike phone calls, or struggle to be direct when needed, this role will not be a good fit.
Pay: $40,000 - $45,000/year salary + quarterly bonus based on performance metrics.
Benefits: Paid holidays, PTO/vacation, 401(k) with matching after 90 days.
