ServiceMaster Restoration By Simons is seeking an experienced Restoration Claims Coordinator / Xactimate Specialist to provide remote claims support for our property damage restoration company.

Hands-on experience with Xactimate and Mitigate is required for this position. Candidates should also be familiar with XactAnalysis, restoration documentation standards, insurance carrier requirements and the property damage claims process.

Required Software Experience

Candidates must have:
  • Hands-on Xactimate experience — REQUIRED
  • Hands-on Mitigate experience — REQUIRED
  • Familiarity with XactAnalysis
  • Experience with DASH or comparable restoration management software
  • Experience working with insurance carrier portals and/or TPA programs
Applicants without prior Xactimate and Mitigate experience will not be considered.

What You'll Do

The Claims Coordinator will manage assigned restoration claim files and help move them efficiently from production through insurance review, billing and payment within the required day 10 time frame.

Responsibilities include:

  • Manage assigned water, fire, smoke, mold, contents and insurance files
  • Review each claim for completeness and identify missing information
  • Monitor assigned claims and ensure required tasks are completed within company, carrier and TPA deadlines
  • Maintain active follow-up so claims do not sit without documented action
  • Prepare, review and revise Xactimate estimates
  • Submit and manage claim information through XactAnalysis
  • Review and maintain Mitigate documentation
  • Work within DASH and other applicable restoration management platforms
  • Communicate professionally with insurance adjusters and carrier representatives
  • Follow up on estimates awaiting carrier review or approval
  • Prepare and support supplements
  • Respond to adjuster requests for documentation
  • Review carrier reductions and estimate discrepancies
  • Help resolve scope, pricing and documentation issues
  • Track outstanding invoices and insurance payments
  • Maintain detailed claim notes and communication records
  • Help move completed jobs through final documentation, billing and payment
Photo Organization & Documentation
The Claims Coordinator will also be responsible for maintaining complete, organized and submission-ready photo and documentation files.

Responsibilities include:

  • Review photos submitted by technicians and project managers
  • Organize and label photos by job, room, area and phase of work
  • Upload photos into DASH, Mitigate, XactAnalysis and applicable carrier or TPA systems
  • Confirm photos support the work being estimated and invoiced
  • Identify missing or inadequate photographs
  • Request additional documentation from the field team when needed
  • Organize moisture records, drying documentation and equipment logs
  • Upload signed authorizations, completion documents, estimates and invoices
  • Maintain clean and organized electronic claim files
  • Perform a final quality review before a file is considered complete
Timeliness & Accountability

Completing claim requirements on time is a critical responsibility of this position.

The Claims Coordinator is expected to monitor deadlines, complete uploads promptly, keep Mitigate and XactAnalysis requirements current, follow up consistently with adjusters and prevent files from becoming stagnant.

Delays outside the Claims Coordinator's control should be clearly documented with timely follow-up.

A qualifying file must have all applicable photos, Mitigate documentation, XactAnalysis requirements, estimates, invoices, drying documentation, signed documents and communication records completed and organized.
Simply changing a job status to “closed” does not qualify. The file must be complete, accurate, organized and timely.
