Pay Rate: £32,722.88

Grade: O

Contract Type: Permanent (Full-Time)

Shift patterns: Monday to Friday, either 8am or 9am start - 40 hours per week

Location: Luton Airport

We're now looking for a Resourcing & Planning Coordinator to play a key role in supporting our Aviation & Travel operations. This is a fast-paced and varied position, helping to coordinate workforce planning, training, onboarding, and compliance activities across multiple airport locations to ensure our teams are fully prepared to deliver exceptional service.

✅A TYPICAL DAY MAY INVOLVE

  • Manage end-to-end day-to-day planning for multiple airport locations
  • Maintain accurate Outlook planning data and analyse workforce requirements, including identifying drivers of overtime such as skill gaps, absences, and operational demand.
  • Ensure appropriate resource coverage across departments, including proactive planning for known gaps (e.g. training, annual leave, or absence)
  • Support operational continuity by assessing impacts of reduced skills or coverage shortfalls and implementing mitigation plans.
  • Manage the planning inbox, ensuring all queries are addressed accurately and within agreed timelines.
  • Coordinate and administer training activities, including scheduling training within rosters and aligning with operational requirements.
  • Issue joining instructions for new starters and training courses.
  • Book and coordinate training-related requirements such as ADP, medicals, and ID appointments.
  • Attend new starter inductions to distribute rosters and provide an overview of planning processes (e.g. leave requests, rest days, and shift swaps).
  • Conduct regular “surgeries” with colleagues and departments to provide guidance and resolve planning or training queries.
  • Carry out training audits to ensure completion and compliance requirements are met.
  • Provide comprehensive site administration support, including booking ID appointments, managing staff parking arrangements, and maintaining accurate personnel records.
  • Manage leaver processes and maintain accurate system records
  • Assist with potential compliance-related activities (e.g. 5-year re-checks, security interviews), subject to evolving responsibilities.
  • Produce monthly leave data exports and reporting using the Power BI data.
  • Monitor and manage leave balances to ensure compliance with agreed thresholds and avoid breaches.
  • Support delivery of new starter courses and ongoing colleague engagement activities.

✅THIS ROLE WOULD SUIT PEOPLE WHO

  • Proficient in MS Office, particularly Excel and Outlook
  • Experience in using planning and LMS systems
  • Have strong organisational and administrative skills with excellent attention to detail.
  • Are confident managing multiple priorities and working to deadlines in a fast-paced environment.
  • Have strong communication skills and enjoy building relationships across different teams.
  • Enjoy solving problems and contributing to continuous improvement initiatives.
  • Experience working within Aviation (Essential)
