About the job:
As a Resource Forecasting & Documentation Coordinator, you will support the Operations team with resource forecasting and allocation across live and pipeline projects. Working within a defined process and reporting into the COO, you will help keep Bridgit Bench ( our cloud-based workforce planning and resource forecasting platform) accurate and current, coordinate inputs from Project Leadership and the Bid team, and support day-to-day documentation activities.

This role operates within an established scope of responsibility, with clear escalation routes for anything outside that scope. You will be expected to deliver your day-to-day work independently once trained, while working closely with more senior Operations colleagues for guidance on complex or ambiguous situations.

About you:

  • The candidate must be based in Ireland to be considered for this position.

  • Leaving Certificate or equivalent; a relevant third-level qualification is an advantage.

  • Recent graduates and candidates with administrative, coordination, or scheduling experience are encouraged to apply.

  • Strong organisational skills and high attention to detail.

  • Good working knowledge of MS Word; working knowledge of MS Excel is advantageous.

  • Comfortable following up with colleagues at all levels for outstanding information, in a polite and professional manner.

  • Good written and verbal communication skills.

  • Ability to work independently within defined processes, and as part of a team.

  • Strong time management skills and ability to meet deadlines.

  • Motivated, reliable, and comfortable working with a degree of ambiguity as the role and processes develop.

Role Requirements

Forecasting

  • Act as a point of contact for Ops Directors/Associates submitting resource requirements.

  • Liaise with the Bid team to track pipeline projects and update resource forecasts as bids progress.

  • Input, maintain, and reconcile resource requirements in Bridgit Bench.

  • Support the forecasting cycle: capture, allocate, rebalance, and report.

  • Follow up with Project Leaders and the Bid team for outstanding or overdue inputs.

  • Flag resource conflicts, shortfalls, or over-commitments to your manager for review.

  • Help produce regular forecast vs. actual reporting for leadership.

  • Support data integrity in Bridgit Bench, escalating stale or unverified entries.

Documentation

  • Assist with modifying and maintaining engineering standard specifications and reports.

  • Maintain document templates and version control.

  • Manage own workload between forecasting and documentation tasks, prioritising forecasting.

  • No previous forecasting or document control experience required — full training will be provided.

Key Knowledge

  • Good working knowledge of MS Word; MS Excel and MS Outlook also used regularly.

  • Experience with resource/scheduling software is an advantage; Bridgit Bench experience is a bonus, not a requirement.

  • Excellent attention to detail and accuracy, particularly around data entry and reporting.

  • Experience gained through internships, work placements, or office/operations administration roles would be beneficial but is not essential.

  • A background in engineering, construction, or professional services is desirable but not essential.
