Job Category: Customer ServicePOSITION SUMMARY
The Reservations Agent is responsible for all room reservation related duties and support of the front desk as needed. This position will also provide support to the Director of Sales as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Supervise all room reservation activity under the direction of the Assistant Director of Front Office
- Respond to email reservation requests within four hours
- Answer the phone within three rings for incoming reservations and front desk calls
- Accountable for all guest reservations including retail, negotiated corporate, OTA, consortia, promotions, packages as well as, group and other areas as needed
- Maintain distribution channels and the booking engine including consortia (e.g., AMEX and Virtuoso) OTA (Expedia, Booking.com and Tablet) and booking engine (Synxis).
- Enter group rooming lists, manage reservation due dates, available rooms, and facilitate a weekly ‘pick-up’ meeting
- Take deposits for all deposit-required bookings
- Work alongside DOS to service corporate negotiated accounts, submit rate loading to Sabre and confirm rates are properly mapped in Synxis
- Process the monthly commissions report and work with accounts payable to ensure timely payment
- Assist with In-Room dining requests, restaurant reservations and other guest requests as needed
- Facilitate VIP and long-term stays in a timely manner to support hotel and Ryokan guests
- Maintain PMS system health consistent with Nobu brand data standards
- Assist with any special projects as needed by DOS and ADFO
- Provide support to Front Office as needed including, but not limited to, front desk coverage
- Utilize the Nobu App chat functionality to support guest service
QualificationsQUALIFICATIONS

- Proficiency in Opera (PMS) required
- IDeaS G3 (RMS) and Synxis (booking engine) preferred
- Strong written and verbal communication skills
- Strong telephone and computer etiquette
- Excellent interpersonal and customer service skills
- Demonstrates a calm and professional manner at all times
EDUCATION/EXPERIENCE
High school diploma is preferred, though any combination of education and/or experience that provides the required knowledge, skills and abilities will be considered. One-year of experience in a luxury hospitality environment as a Reservations Agent or Front Desk agent required.
Strong Outlook, MS Word, PowerPoint and Excel knowledge required.
