/Objective

The Repair Coordinator is responsible for managing the complete lifecycle of industrial pump repairs and pump exchange program. This includes scheduling inspections, generating quotations, managing schedules, tracking repair progress, communicating with customers, and ensuring accurate and timely billing. The Repair Coordinator serves as the key link between customers, technicians, and internal departments to ensure every repair is completed efficiently, accurately, and meeting or exceeding the customer’s expectations.

  • Serve as the primary contact for all repair and exchange orders, managing workflow from receipt through completion.
  • Log incoming equipment, verify job scope, and initiate work orders in the ERP system.
  • Coordinate inspections and generate detailed repair quotations based on technician findings.
  • Communicate estimates, lead times, and recommendations to customers, secure purchase orders and repair authorizations.
  • Schedule repair activities and manage job progress to meet delivery commitments.
  • Collaborate with technicians, procurement and other stakeholders to ensure timely and accurate repairs.
  • Maintain detailed job documentation including inspection reports, material usage, and labor hours.
  • Provide proactive updates to customers regarding job status, scope changes, and delivery expectations.
  • Review completed jobs for accuracy, ensuring all work order documentation is complete prior to invoicing.
  • Prepare and issue final invoices per company and customer requirements.
  • Support continuous improvement efforts in workflow efficiency, communication, and customer satisfaction.

Qualifications

Qualifications

Experience:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • 0-2years of experience in service coordination, production scheduling, or similar industrial operations role.
  • Strong administrative, customer communication and organization skills
  • Ability to read and understand drawings, parts and function of equipment being services
  • Thorough understanding of quoting, job costing, and invoicing processes.
  • Strong organizational, communication, and time management skills.
  • Proficiency in ERP or service management software and Microsoft Office Suite.
  • Ability to interpret inspection data, repair reports, and cost estimates.
  • Customer-focused with a proactive, problem-solving mindset.

Preferred:

  • Mechanical aptitude or exposure to industrial equipment
  • Ability to learn drawings, parts identification, and repair workflows.

Work Environment:

  • Office and shop environment with frequent communication between departments.
  • Occasional exposure to industrial noise, temperature variations, and shop activities

Safety:

  • Complete safety training requirements.
  • Participate in other training as directed by the company or manager.
  • Wear appropriate PPE as needed.
