Our Client is a Puerto Rico-based hospitality management firm that serves as the operating backbone for a diverse portfolio of 18+ properties, including boutique hotels, short-term rental collections, and hostels. They specialize in providing institutional-grade management by centralizing payroll, accounting, and financial reporting for various ownership entities. Operating as a fast-moving, analytically-driven team, Our Client leverages cloud-based systems to maintain high financial standards across a distributed remote workforce.
The Role
Our Client is seeking a detail-oriented and self-directed Staff Accountant to join their team in a fully remote capacity. This role sits at the operational core of the accounting function, taking full ownership of accounts payable, vendor management, and credit card reconciliations across a multi-entity portfolio. Reporting directly to the CFO, the successful candidate will ensure that financial data is processed with zero errors, supporting the monthly close process and property-level P&L reporting.
Key Responsibilities
Accounts Payable & Vendor Management
Processes and codes all vendor invoices in QuickBooks Online (QBO), ensuring accurate entity, account, and class assignment.
Manages the weekly AP payment run (Checks, ACH, and online payments) and secures appropriate approvals.
Maintains up-to-date vendor records, including W-9s and payment terms, while proactively resolving discrepancies.
Produces and reconciles vendor aging reports to support optimal cash flow management.
Credit Card & Bank Reconciliation
Categorizes and reconciles all company credit card transactions in QBO on a timely basis.
Matches receipts from cardholders and enforces documentation submission deadlines.
Identifies and flags unusual charges for CFO review and produces monthly spend summaries by property and department.
Month-End Close & Reporting
Executes tasks on the monthly close checklist, ensuring bank and credit card reconciliations are complete across all active accounts.
Assists the CFO in producing monthly property-level P&Ls and other financial reports for ownership groups.
Maintains organized digital files and workpapers to support institutional reporting standards.
Supports annual 1099 preparation and year-end vendor compliance.
Qualifications, Skills, and Key Competencies
Experience: 2+ years of accounting or bookkeeping experience, with a specific focus on Accounts Payable
Software: High proficiency in QuickBooks Online (QBO) is mandatory; you must be genuinely comfortable navigating the platform.
Technical Knowledge: Solid understanding of basic accounting principles (debits/credits, accruals, chart of accounts, and period close).
Skills: Proficiency in Microsoft Excel or Google Sheets for complex reporting and reconciliations.
Communication: Strong written English skills for professional correspondence with vendors and internal leadership.
Attributes: High attention to detail and the organizational discipline to manage multiple entities simultaneously without errors.
Preferred Qualifications
Education: Associate's or Bachelor's degree in Accounting or Finance.
Industry Experience: Background in Hospitality, Property Management, or Real Estate
Languages: Spanish language proficiency is a plus given the operational base in Puerto Rico.
Systems: Familiarity with Property Management Systems (Guesty, Stay'n Touch, etc.) is a plus.
