Schedule: Monday - Friday, Eastern Time (ET) business hours overlap preferred
Our Client operates two distinct, high-growth businesses. The first is a vertically integrated Real Estate operation covering property management, construction, and development for an 80-unit residential portfolio in Connecticut. The second is a Capital Markets placement agent firm that connects Limited Partners (LPs) with General Partners (GPs) across hedge funds, private equity, and real estate funds. Both businesses are fast-paced, tech-forward, and rely on disciplined operational support to scale.
The Role
Our Client is seeking a bilingual, highly autonomous Operations Coordinator to serve as the backbone for both businesses. This is a high-trust role supporting two principals across property management, construction coordination, and investor research. The successful candidate must be a self-starter who thrives in variety, adopting AI tools and new software quickly to "figure it out" independently. Whether navigating a tenant issue in Spanish or researching institutional investors in English, this role requires exceptional professional judgment and end-to-end ownership.
Responsibilities
Real Estate & Property Management (AppFolio focus)
Supports the Business Partner with day-to-day operations in AppFolio, including listings, leases, and work orders.
Serves as a primary contact for tenants and vendors in both English and Spanish, handling inquiries and maintenance requests.
Provides vital bookkeeping support by entering and tagging expenses, organizing vendor bills, and reconciling invoices against maintenance records.
Coordinates utility accounts and manages vendor scheduling to ensure seamless property transitions.
Construction & Development (BuildTrend focus)
Tracks permits, drawings, and submissions, acting as a liaison between the principal and engineers, architects, or inspectors.
Manages subcontractor compliance, including the collection of certificates of insurance and contract preparation.
Performs job-cost coding and expense entry, flagging upcoming payment milestones and discrepancies to the principal.
Capital Markets & Investor Operations
Conducts deep research to compile detailed prospect lists of potential LP contacts (High-Net-Worth, Family Offices, etc.).
Maintains accurate pipeline activity and notes within the Infinity CRM
Processes meeting transcripts using AI tools (Claude/ChatGPT) to generate summaries and draft follow-up logistics for the principal.
Organizes investor pitch decks and diligence materials as directed.
Executive Support & AI Operations
Monitors the principal’s inbox, flagging priorities and drafting professional follow-up correspondence.
Proactively implements AI tools to streamline workflows and turn meeting notes into structured reports.
Maintains a live to-do list and manages the principal’s calendar across both business lines.
Required Qualifications
Software: Hands-on experience with AppFolio is a strict requirement.
Communication: Absolute fluency in English and Spanish (written and spoken) is non-negotiable.
Technical Savvy: Experience with AI tools (ChatGPT, Claude) and a "tech-forward" approach to adopting new platforms.
Attributes: A true problem-solver who works with minimal supervision and possesses strong professional writing skills.
Administrative Skills: Comfortable with numbers, spreadsheets, and high-volume data entry with extreme accuracy.
Reliability: Must have a stable internet connection and a quiet work environment.
Preferred Qualifications
Experience with BuildTrend or similar construction management software.
Background in Real Estate, Capital Markets, or Project Management.
Previous experience in bookkeeping support or CRM management (Infinity or similar).
