Job Title: Remote Operations & Client Services Manager (100% Work From Home)

Location: Remote from Latin America Position Type: Full-time Salary $1,300 - 1,800 USD/month paid via Remitly Schedule: Monday - Friday, 9:00am to 5:00pm Pacific Time

The Head of Operations & Client Services will oversee the operational engine behind the firm’s recruiting function. This role is responsible for ensuring a consistent, high-quality experience for clients and candidates while maintaining efficient internal systems, workflows, and processes.
Working closely with the Chief Talent Officer and recruiting team, this individual will manage recruiting operations, client deliverables, internal systems, and cross-functional projects that support firm growth. The ideal candidate is highly organized, systems-oriented, and experienced in operating at the intersection of recruiting operations, project management, and business operations.

Responsibilities

Recruiting Operations & Client Delivery

  • Manage the operational flow of recruiting projects from kickoff through placement
  • Monitor candidate pipelines and ensure accurate tracking within the ATS
  • Produce reports and metrics related to searches, sourcing activity, and placements
  • Review candidate submissions to ensure quality and alignment with client requirements
  • Prepare client-facing materials including pitch decks, agreements, candidate briefs, and search updates
  • Coordinate with recruiters and sourcers to maintain alignment and momentum
  • Ensure high standards for candidate presentation and client deliverables

Systems, Workflows & Technology

  • Monitor and optimize recruiting workflows to improve efficiency and consistency
  • Evaluate and implement tools that support recruiting operations
  • Identify opportunities to integrate automation and AI into workflows
  • Manage and optimize the recruiting tech stack (ATS, sourcing tools, project management systems)
  • Ensure data accuracy and consistency across systems

Project Management & Marketing Operations

  • Oversee internal operational projects, including marketing and website initiatives
  • Manage timelines, stakeholders, and deliverables for projects such as branding updates and system improvements
  • Track milestones and ensure projects are completed on time

Vendor & Business Operations

  • Manage relationships with external vendors and service providers
  • Evaluate tools and platforms that support business operations
  • Support leadership with operational planning and process improvements
  • Identify opportunities to improve efficiency and internal systems

Qualifications, Skills, and Key Competencies

Required:

  • 3+ years of experience in operations, recruiting operations, project management, or business operations
  • Experience working in recruiting, staffing, professional services, or startup environments
  • Strong organizational and project management skills
  • Ability to manage multiple priorities simultaneously
  • Experience working with ATS platforms and recruiting technology
  • Strong written and verbal communication skills
  • High attention to detail with a focus on quality and process improvement

Preferred:

  • Experience implementing or optimizing operational systems and workflows
  • Familiarity with automation tools and AI-driven workflows
  • Experience coordinating cross-functional projects and external vendors
