Job Title: Remote Onboarding Specialist (100% Work From Home)

Location: Remote from Latin America

Position Type: Full-time

Salary$3,000 - 4,000 USD/month depending on experience paid via Deel.com or Wise (or similar platforms)

Schedule: Monday - Friday, 7:00 AM–3:00 PM PST (1-hour lunch break)

Our client is a specialized growth partner for dental practices, focused on implant dentistry. They provide digital marketing, SEO, website development, and growth systems designed specifically for high-value dental services. Their mission is to help practices attract better patients, grow predictably, and scale with confidence through proven strategies and deep dental industry expertise.
You are ultra-organized, calm under pressure, and confident on camera. You can hold the line with high-expectation dental clients without losing the relationship.
You think in terms of:
• Onboarding timelines and deliverable deadlines
• Kickoff call quality and client confidence
• Cross-team dependencies and blockers
• Asset and access readiness
• Time-to-first-campaign-live — not just task lists and Slack messages.
You understand how to run a clean kickoff call, chase down missing assets without nagging, and translate marketing-adjacent questions for clients who do not speak fluent agency.
You are proactive, detail-obsessed, and comfortable owning the client experience for the first 30 days.
Responsibilities:
Onboarding Leadership
• Lead the onboarding process for new dental practice clients, ensuring a smooth transition from sales to active service
• Conduct kickoff calls to align expectations, define goals, and establish communication workflows
• Maintain a portfolio of onboarded client accounts until full transition to account management
Information & Asset Collection
• Collect, organize, and validate all necessary client information — branding assets, practice details, goals, and access credentials
• Ensure all onboarding documentation is completed accurately and stored in internal systems
Cross-Team Coordination
• Coordinate with internal teams (marketing, ads, content, design, web) to initiate and execute client setup efficiently
• Develop and manage onboarding timelines, ensuring all deliverables are completed within agreed deadlines
• Monitor onboarding progress and proactively resolve blockers to keep implementation on track
Client Communication & Trust
• Provide regular updates to clients regarding onboarding status and next steps
• Maintain strong communication with clients to build trust and ensure a positive early-stage experience
• Translate marketing-adjacent questions into clear answers dental practice owners can act on
Risk Management & Escalation
• Identify potential risks or delays in onboarding and escalate when necessary
• Manage difficult conversations with demanding practice owners without losing the relationship
Process Improvement
• Identify gaps and suggest onboarding workflow enhancements
• Build systems that scale as the agency grows
Qualifications, Skills, and Key Competencies:
• 4+ years of experience in onboarding, project management, account coordination, or a related client-facing role
• Background in a dental practice (treatment coordinator, office/practice manager) OR a marketing agency strongly preferred — both is ideal
• Ability to manage 5+ concurrent client onboardings without dropping details
• Excellent written and verbal English
• High confidence on Zoom and in client-facing communication
• Hands-on experience with project management and CRM tools (Asana, ClickUp, HubSpot, GoHighLevel, etc.)
• Comfortable with marketing-adjacent vocabulary (campaigns, leads, CRM, conversion) — you do not need to run campaigns, but you need to translate them
What Success Looks Like
• New clients onboarded fully within agreed timelines and deadlines
• Zero open blockers when handing off to account management
• Clients trust you by Day 7 and feel taken care of by Day 30
• Clean, complete documentation and systems for every account
• You are the reason new client relationships start strong
