Job Title: Remote Executive Assistant to the CEO (100% Work From Home)

Location: Remote from Latin America
Position Type: Full Time
Salary $1,500 - $2,000 USD monthly base salary.
Schedule: Monday through Friday during US business hours with full alignment to executive travel and operational priorities

Our Client is Petra Automotive Products, a fast-growing, high-performance automotive maintenance product manufacturer built around entrepreneurship, high-touch relationships, and operational excellence. Expanding rapidly across corporate automotive, dealer group, OEM, and international distribution channels, they are recognized for moving quickly and delivering premium service. Driven by rapid organizational expansion, leadership requires a proactive, highly organized executive operational partner to protect leadership time, streamline executive workflows, and execute strategic priorities.
The Role
Our Client is seeking a polished, proactive, and highly organized Executive Assistant to directly support the President & CEO. Far beyond a traditional administrative coordinator, this professional will operate as a high-trust executive extension—anticipating needs, gatekeeping leadership time, managing complex travel and calendar logistics, and driving cross-departmental follow-through. Reporting directly during US business hours, this role is built for a resilient, detail-driven operator who excels at handling high-level executive communication with corporate partners, business owners, and internal leadership with absolute discretion.
Key Responsibilities

Executive Calendar, Time & Gatekeeping Management

  • Serves as the primary gatekeeper for the CEO's calendar, prioritizing appointments, conference calls, and executive commitments based on strategic urgency.

  • Proactively identifies and resolves scheduling friction, ensuring appropriate buffer, preparation, and travel time are built into daily itineraries.

  • Coordinates internal executive meetings, leadership summits, external customer dinners, and corporate partner conferences, ensuring complete agenda preparation and advance document distribution.

  • Conducts continuous follow-ups on meeting action items and executive commitments, ensuring no operational detail falls through the cracks.

Strategic Communication & Stakeholder Engagement

  • Drafts and prepares executive correspondence, board decks, official letters, email communications, and presentations on behalf of the CEO.

  • Represents the CEO and company across high-level external interactions with senior executives, OEM partners, dealer groups, distributors, vendors, and community leaders.

  • Maintains organized electronic record systems, managing sensitive corporate data with absolute confidentiality and discretion.

  • Tracks cross-departmental project deadlines directed by the CEO, liaising with internal teams to keep strategic initiatives on schedule.

Complex Travel Logistics & Project Coordination

  • Coordinates end-to-end domestic and international executive travel itineraries, including flights, hotels, ground transportation, reservations, and supporting documentation.

  • Monitors active travel plans in real time to resolve flight disruptions or schedule changes proactively.

  • Assists with business networking, charitable initiatives, community engagements, and special executive projects as assigned.

Qualifications, Skills, and Key Competencies

Required Qualifications

  • Executive Administrative Experience: 3+ years of demonstrated success directly supporting a CEO, President, business owner, or C-suite executive within a fast-paced environment.

  • High-Level Communication: Exceptional, polished written and spoken English skills suitable for interacting with C-suite executives, corporate partners, and VIP guests.

  • Proactive Executive Judgment: Demonstrated ability to stay two steps ahead of leadership, anticipating needs, taking initiative, and solving problems independently.

  • Advanced Tech Proficiency: Mastery of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and modern electronic calendar and workflow management systems.

  • Discretion & Detail Orientation: Absolute trustworthiness handling confidential business information, backed by meticulous organizational discipline.

  • US Business Hours Alignment: Dedication to full-time availability during US business hours, with flexibility to support travel logistics when required.

  • Remote Workspace Infrastructure: Dedicated home workspace, high-speed internet, personal computer, professional headset, and webcam setup.

Preferred Qualifications
  • Background in automotive, manufacturing, distribution, or fast-scaling B2B commercial sectors.

  • Experience coordinating international corporate travel itineraries and high-profile executive events.
