Job Title: Remote Executive Assistant (100% Work From Home)

Location: Remote from Latin America
Position Type: Full-time
Salary$1,500 - 1,800
Schedule: Preferred working hours aligned with Pacific Time business hours

Our Client

Our client is a growing private neuropsychology practice based in California that provides neuropsychological evaluations, therapy services, and immigration psychological evaluations for pediatric, adult, and geriatric patients.

The practice is deeply committed to compassionate, patient-centered care and serves both English- and Spanish-speaking communities. As the team continues to grow, they are seeking a highly proactive and empathetic Executive Assistant to support daily operations, patient communication, scheduling, and administrative coordination.

The Executive Assistant will serve as a key operational and patient support partner within the practice. This role combines executive support, patient coordination, administrative management, and light marketing assistance in a collaborative and mission-driven environment.

The ideal candidate is highly organized, emotionally intelligent, proactive, and comfortable communicating with patients in both English and Spanish. This person should be able to think independently, anticipate needs, and help create a seamless and supportive patient experience.

Key Responsibilities

Administrative & Patient Support

  • Answer patient phone calls and emails professionally and empathetically
  • Schedule appointments and coordinate patient calendars
  • Collect deposits and assist with intake and onboarding documentation
  • Send consent forms and follow-up paperwork
  • Guide patients toward the appropriate services and providers based on their needs
  • Maintain organized communication and patient follow-up processes
  • Support calendar and email management for the practice owner

Executive & Operational Support

  • Assist with day-to-day administrative tasks and operational coordination
  • Support special projects and ongoing workflow improvements
  • Anticipate needs and proactively identify solutions
  • Coordinate with clinical staff to ensure smooth internal operations

Marketing & Creative Support

  • Create simple marketing materials using Canva
  • Support social media content and basic marketing initiatives
  • Assist with bilingual communication and translation needs when necessary
  • Help support outreach and community engagement efforts

Qualifications

Required

  • Fluent English and Spanish communication skills
  • Strong phone and interpersonal communication abilities
  • Previous experience in an Executive Assistant, Administrative Assistant, Client Support, or similar role
  • Excellent organizational and multitasking skills
  • Strong empathy and emotional intelligence
  • Ability to work independently and take initiative
  • Comfortable learning new systems and workflows
  • Proficiency with Google Workspace and Canva
  • Reliable internet connection and professional remote work environment

Preferred

  • Based in El Salvador or broader Central America region
  • Experience supporting executives, entrepreneurs, or healthcare professionals
  • Experience in healthcare, mental health, psychology, or medical administration
  • Familiarity with scheduling systems, CRMs, or patient coordination workflows
  • Social media or marketing support experience
  • Translation or interpreter experience

Schedule & Compensation

  • Remote position

  • Initially part-time (approximately 20 hours/week) during training period

  • Transition to full-time (40 hours/week) after approximately 90 days

  • Preferred working hours aligned with Pacific Time business hours

  • Compensation range: approximately $1,500–$1,800 USD/month full-time equivalent (depending on experience)
