About Our Client
Relationship Management: Serves as the primary voice for the CEO across phone calls and emails with schools, vendors, and partners; handles warm inbound leads and proactively follows up on quotes.
Pipeline & Project Coordination: Manages the CRM (Brevo) to ensure deals progress through the pipeline; oversees outbound cold email workflows and manages ad-hoc contractors for design or web development.
Research & Problem Solving: Conducts deep-dive research using AI tools (Claude, ChatGPT) to evaluate software, source suppliers via Alibaba/AliExpress, and provide data-backed recommendations.
Administrative Oversight: Manages the CEO’s inbox with a goal of "Inbox Zero," runs payroll via Gusto, and maintains organized documentation across Google Drive and Slack.
Travel & Logistics: Coordinates flight and travel arrangements, including travel hacking and points optimization.
Lifestyle Administration: Conducts online product research and shopping, manages vehicle maintenance schedules, and tracks personal subscriptions.
Household Coordination: Liaises with the in-home house manager regarding scheduling, deliveries, and appointments.
Language: Excellent written and spoken English is non-negotiable. Must have a confident phone presence and a neutral accent for daily calls with US school administrators.
Location & Hours: Based in Latin America and able to work PST hours (9 AM – 5 PM Pacific) with occasional weekend availability via Slack.
Technical Savvy: Proficiency with Slack, Google Workspace, Shopify, CRM tools, and AI tools ( Claude/ChatGPT).
Experience: Previous EA or PA experience supporting a Founder/CEO directly; e-commerce or service industry background is preferred.
Proactive Mindset: A resourceful problem-solver who "Googles it" or asks AI to find solutions before escalating to leadership.
Experience with Amazon FBA or Shopify operations.
Familiarity with cold email tools like Instantly or Apollo.io
Knowledge of travel hacking (credit card points and miles optimization).
Experience using n8n dashboards or similar automation tools.
