Position Type: Full-time

Salary: $1,200 – $1,800 USD/month (commensurate with experience)

Schedule: Full-time shift (40 hours per week) aligned with US Eastern Time (ET) business hours (e.g., Monday – Friday: 9:00 AM – 5:00 PM ET; flexible schedule agreed upon with leadership)

About the Client

Our Client is a growing US multi-branch service business operating across approximately 8 to 9 locations in multiple states. Dedicated to delivering high-quality, project-based solutions, our client manages complex, multi-location financial workflows and job-costing operations. Built on a culture of operational structure, financial transparency, process improvement, and accountability, our client provides an environment where accurate bookkeeping, multi-entity tracking, and cloud-based accounting systems directly support business expansion.

Job Overview

Our Client is seeking a detail-oriented, organized, and proactive Remote Bookkeeper to support the financial operations across its multi-branch enterprise. Reporting directly to company leadership and the senior accounting team, this professional will record daily transactions, manage accounts payable, maintain project-level job costing, and prepare profit and loss (P&L) statements. Additionally, the Bookkeeper will play a key operational role in leading the system migration from QuickBooks Desktop to QuickBooks Online, setting up branch-level tracking, and standardizing reporting workflows in Google Sheets.

Key Responsibilities

Multi-Location Bookkeeping & Accounts Payable

  • Records, classifies, and reconciles daily financial transactions—including income, expenses, vendor invoices, bills, and payments—across 8–9 business branches.
  • Manages Accounts Payable (AP) workflows, organizing vendor invoices and ensuring timely payment processing.
  • Establishes and maintains structured income and expense accounts to track financial performance independently across various state locations.
  • Utilizes Google Sheets and internal communication systems (e.g., RingCentral) to maintain financial tracking logs and operational reports.

Job Costing & Financial Reporting

  • Assigns vendor invoices, subcontractor labor, and materials costs to specific jobs or projects to maintain accurate project-level financial visibility.
  • Prepares monthly Profit & Loss (P&L) statements, job-costing reports, and financial summaries for company leadership.
  • Identifies variances, investigates discrepancies, and implements bookkeeping process improvements to enhance accuracy and consistency.

System Migration & Process Improvement

  • Supports the transition from QuickBooks Desktop to QuickBooks Online, organizing, migrating, and configuring accounting records for a seamless rollout.
  • Refines financial workflows, establishes repeatable reconciliation procedures, and cleans up legacy ledger data.
  • Collaborates regularly with US-based leadership to address financial inquiries, provide status updates, and align on bookkeeping priorities.

Qualifications, Skills, and Key Competencies

Required Qualifications

  • Bookkeeping & Accounting Experience: Minimum of 2 years of hands-on experience in bookkeeping, accounting, or financial operations roles.
  • QuickBooks Online Proficiency: Direct experience managing transactions, categorizing accounts, and generating financial reports inside QuickBooks Online.
  • Job-Costing & Expense Allocation: Demonstrated ability to assign expenses, subcontractor labor, and project costs to individual jobs or cost codes.
  • Multi-Location Accounting & AP: Proven ability to manage Accounts Payable and organize records across multiple business branches or entities.
  • Spreadsheet Proficiency: Strong working knowledge of Google Sheets or Microsoft Excel for financial tracking and data manipulation.
  • Fluent English Communication: Good written and verbal English communication skills to collaborate directly with US company leadership.
  • Schedule Alignment & Remote Setup: Full-time commitment (40 hours/week) aligned with US Eastern Time business hours, supported by a quiet home office and reliable high-speed internet.

Preferred Qualifications

  • Hands-on experience with QuickBooks Desktop and assisting with software migrations from desktop to cloud-based accounting platforms (QuickBooks Online).
  • Background in construction, home improvement, trade services, or project-based industries managing subcontractor payments.
  • Experience setting up multi-branch charting of accounts and location-based reporting.
