Our Client is seeking a empathetic, detail-oriented, and bilingual Legal Assistant to serve as a primary liaison for their Spanish-speaking clientele. Rather than functioning as a basic translator or data entry clerk, this professional acts as a true client advocate and case coordinator—adept at building rapid rapport, guiding injured clients through high-stress situations with compassionate clarity, and driving end-to-end case workflows forward. This role idealizes a resourceful problem-solver who takes ownership of file accuracy, medical records retrieval, and strict deadline management.
Serves as the primary point of contact for Spanish-speaking clients, conducting proactive case status updates, consultation calls, and routine check-ins.
Manages inbound client inquiries across phone, email, and client portals in a timely, empathetic, and solution-oriented manner.
Delivers clear, compassionate communication to ensure clients feel informed, supported, and valued throughout every phase of their legal journey.
Maintains precise, accurate, and structured digital case files within the firm's legal management system.
Drafts, formats, and proofreads legal correspondence, Letters of Representation, and other routine legal documentation in both English and Spanish.
Manages firm calendars, coordinates client appointments, and tracks litigation deadlines to ensure workflow compliance.
Coordinates and tracks comprehensive requests for medical records, itemized billing statements, wage loss documentation, and physician reports.
Maintains persistent follow-up workflows with healthcare providers, insurance adjusters, employers, and third-party vendors to eliminate case bottlenecks.
Systematically audits incoming records to ensure documentation is complete and ready for attorney review.
Collaborates daily with staff attorneys, legal assistants, medical providers, and external vendors to maintain dynamic case momentum.
Contributes to continuous process improvement initiatives to refine the overall client experience.
Language Proficiency: Native or near-native fluency in both written and spoken English and Spanish, with a demonstrated ability to translate complex legal terms clearly.
Organizational Mastery: Exceptional time-management instincts, rigid attention to detail, and a proven ability to prioritize multiple tight deadlines independently.
Technical Aptitude: Strong proficiency with Microsoft Office Suite, Adobe Acrobat, and a natural comfort learning modern cloud-based legal technology platforms.
Resourceful Problem-Solving: High degree of self-direction, adaptability, and personal accountability, with a passion for taking initiative and finding answers.
Interpersonal Skills: Calm under pressure, patient, and highly empathetic when interacting with clients experiencing traumatic or stressful life events.
Prior experience working within a US law firm, legal support setting, or high-touch client service environment.
Direct exposure to Personal Injury law workflows, including experience obtaining medical records and bills.
Hands-on proficiency utilizing Filevine or identical legal case management systems.
