Job Title: Remote Accounting & Admin Manager (100% Work From Home)

Location: Remote from Latin America

Position Type: Full Time

Salary: $1,800 – $2,200 USD monthly salary (Paid directly in USD) + Up to $2,500 USD annual performance bonus

Schedule: Monday through Friday, 9:00 AM – 6:00 PM US Eastern Time (EST/EDT)

Position Overview

Our Client is a rapidly growing property management and hospitality company specializing in high-quality furnished short-term and extended-stay rentals. Managing an expanding portfolio of residential properties, they focus on delivering superior guest experiences while building scalable, tech-enabled financial and operational systems behind the scenes. Driven by significant year-over-year portfolio expansion, they foster a collaborative, fast-paced environment where autonomous team members are empowered to take full ownership of their work.

The Role

Our Client is seeking a hands-on, analytical, and highly proactive Accounting & Administrative Manager to take complete ownership of day-to-day bookkeeping, property P&L management, financial reporting, and executive administrative compliance. Far beyond traditional data entry, this professional will reconcile multi-entity accounts, manage property management software (PMS) and OTA payouts, oversee accounts payable/receivable, and manage regulatory filings. Reporting during US Eastern business hours, this role is designed to grow into higher-level financial, operational, and team leadership responsibilities as the company scales.

Key Responsibilities

Financial Management, Bookkeeping & Reporting

  • Maintains accurate multi-entity bookkeeping records across properties and accounts using QuickBooks Online, properly categorizing revenue, operating expenses, reimbursements, and property owner payouts.
  • Reconciles monthly bank statements, corporate credit cards, OTA payouts (Airbnb, Vrbo, direct bookings), and payment processor transactions, proactively investigating and resolving discrepancies.
  • Prepares comprehensive monthly P&L statements, property-level financial reporting decks, and executive summary reports.
  • Oversees full-cycle accounts payable and receivable (AP/AR), managing vendor invoices, contractor payouts, owner disbursements, and payroll schedules.
  • Develops budgeting models, expense forecasts, and financial projections alongside executive leadership.

Administrative Oversight, Legal Compliance & Process Optimization

  • Manages core administrative compliance across the portfolio, tracking deadlines for business license renewals, short-term rental permits, insurance policies, tax filings, and regulatory documentation.
  • Maintains organized electronic document repositories for leases, vendor contracts, digital signatures, and corporate agreements.
  • Collaborates with leadership to refine internal accounting SOPs, automate financial workflows, and implement scalable cloud financial tools.

Qualifications, Skills, and Key Competencies

Required Qualifications

  • Accounting Software Mastery: Advanced, hands-on experience using QuickBooks Online for multi-account or multi-entity bookkeeping.
  • Financial Data & Modeling Skills: Advanced proficiency in Microsoft Excel / Google Sheets, with proven experience building customized financial reports, property P&Ls, and budget forecasts.
  • Fluent English Communication: Native or full professional English fluency (written and spoken) for cross-functional collaboration and clear executive reporting.
  • Self-Directed Problem Solver: High initiative and self-motivation with the ability to identify financial discrepancies and execute solutions independently.
  • US Business Hour Alignment: Ability to work full-time during US Eastern business hours (Monday–Friday, 9:00 AM – 6:00 PM EST).
  • Remote Infrastructure Setup: Dedicated quiet home office, personal computer, webcam, headset, and reliable high-speed internet connection.

Preferred Qualifications

  • Background in real estate, property management, vacation rentals, or hospitality accounting.
  • Hands-on experience navigating property management systems (PMS), Airbnb/Vrbo backend payouts, and multi-listing financial structures.
  • Prior experience handling business permits, municipal short-term rental licenses, and lease agreements.
