Job Description

Responsible for daily operations of office functions including but not limited to:

Patient tracking from order to discharge in order to perform scheduling, rescheduling, registration, and re-registration of all outpatient Rehabilitation patients.

Insurance verification of coverage, and authorizations of visits for all outpatient Rehabilitation services.

Maintaining accurate medical record information and communicating changes with patient information accordingly ..

Maintaining documentation forms within department policy regulations for outpatient areas; physician signatures on all forms as necessary and proper medical record storage.

Tracking of Patient Plan of Cares and Reassessments.

Communication with Physicians in regard to patient updates and any needed documentation.

Monitoring Referral Diagnosis Codes and therapist documented Treatment Diagnosis Codes.

Fulfillment of all medical record request following release of information protocol. Updating and monitoring daily therapists' schedules, and communicating with patients and staff via phone, halo and email regarding patient schedules and updates.

Minimum Education

High School Diploma or equivalent is required.

Associate in business or related field is preferred

Work Experience

Two years of experience is required if equivalent training has not been received

Previous healthcare experience preferred

Required Skills

Excellent customer service skills.

Must have a working knowledge of HCPCS/CPT codes.

Computer skills as well as the ability to type with accurate spelling, grammar and punctuation is required.

Having the ability to speak clearly and concisely with patients and providers is crucial. Must be able to perform duties and maintain personal conduct, attitude and appearance that conform to the policies and procedures of the facility.

Skills in establishing and maintaining effective and professional relationships with patients, medical staff, clerical staff and the public will be essential.

Essential Job Functions

  • Accurately obtains and enters patient information. Professionally responds to phone inquiries from reimbursement sources and patients.
  • Demonstrates working knowledge of HCPCS/CPT codes.
  • Compiles visit and encounter information for productivity reporting.
  • May monitor, develop and maintain processes for billing as regulatory changes are made.
  • May serve on scheduling committee to organize and arrange team schedules.
  • May travel to any therapy office to cover role within office team.
  • May perform audits on patient charts to communicated needed updates to charges or codes.
  • May monitor and maintain billing system for submission of claims, denial of claims and claim errors.
  • Assists with deposits and collecting payments from patients.
  • Able to work with minimal supervision.
  • Ability to work independently on assigned tasks as well as accept direction on given assignments.
  • Excellent verbal and written communication skills. Demonstrates exceptional interpersonal communication skills.
  • Understands how to prioritize responsibilities to ensure completion of duties.
