Registrations Paralegals will support the Legal Department by preparing, filing, and maintaining state and international timeshare and exchange program registrations. This role supports the Registrations team members and attorneys to ensure compliance with applicable regulatory requirements governing the sale and marketing of vacation ownership interests and exchange program memberships. The paralegal will work closely with attorneys, business partners, and regulatory agencies to manage deadlines, coordinate filings, and maintain accurate records.
ESSENTIAL DUTIES AND TASKS:
- Drafting and Document Preparation – Assist in drafting, preparing, and revising, and organize and maintain corporate transactional documents including, but not limited to, deeds and other conveyance documents, amendments to existing legal documents, and regulatory filings. Coordinate flow of legal paperwork related to drafting. Assist with corporate filings and other regulatory submissions as needed.
- Communication and Collaboration – Communicate thoroughly, clearly, and effectively both verbally and in writing. Draft cover letters, detailed emails, memos, and correspondence when working with both intradepartmental and interdepartmental peers and management, external legal counsel and non-legal partners, and government entities. - Organization and Administration – Track registration amendment progress and renewal deadlines; maintain compliance calendars to ensure timely submissions. Prepare and maintain documents, spreadsheets, and reports for documentation and tracking purposes. Oversee organization and maintenance of registration and vacation ownership plan files. Identify additional related tasks and complete multiple and/or additional responsibilities that may become evident and necessary to ensure efficient administrative operations within the Legal Department.
- Research and Analysis – Conduct focused legal research including, but not limited to federal, state, and local laws and administrative regulations and procedures specifically related to regulatory compliance and registrations. Review, analyze, and apply provisions of condominium, vacation ownership, and other governing documents to inform legal support for projects, compliance, or inquiries. Summarize research to aid in reaching logical conclusions and providing actionable guidance.

SUPERVISORY RESPONSIBILITIES:
- No direct supervisory responsibilities, but expected to delegate appropriate tasks to administrative assistant and paralegal staff.
EXPERIENCE:
- 4 to 7 years of condominium, timeshare, and/or vacation ownership regulatory compliance experience as a Legal Clerk, Paralegal, or similar position, either in-house or in a law firm with timeshare clients.
- Proven advanced computer skills (including Adobe Pro, Microsoft Word, Excel, and PowerPoint) with the ability to learn new programs.
- Superior organization and planning skills.
- Ability to multi-task and efficiently and effectively prioritize and manage workload while working in a fast-paced environment.
- Ability to produce quality work with meticulous attention to detail.
- Exceptional verbal and written communication skills.
- Must maintain a high level of professionalism.
EDUCATION:
- Bachelor’s Degree preferred
- Paralegal certificate preferred

While performing the duties of this job the employee may be required to sit or stand for extended periods of time. Will be required to bend, twist, reach, push, pull, and operate office machinery. WORKING CONDITIONS:
The majority of work will be performed in a climate-controlled environment, but may be exposed to inclement weather and varying degrees of temperature on occasion.
WORK SCHEDULE/HOURS:
Schedules will vary depending on business needs, and may entail working nights, weekends and holidays. Must be flexible to work outside of departmental operating hours.
Monday – Friday
40 hour work week or “as needed” to accomplish special tasks.
