Job Description

The Registration Manager is responsible for the primary communications, registration process, billing and collection of payment and follow-up for the following programs:

  • Summer Resident Camp
  • Adventure and Trips Programs
  • Farm Camp
  • Equestrian Camps
  • Day Camp
  • Community Programs
  • Daycare and Aftercare

The Manager will ensure that the Guest Services Department will work to the highest standards to meet the mission of not only the Department, but the YMCA, the expectations of the staff and customers, and the best interests of Frost Valley. The successful candidate is detail-oriented, able to create and manage systems, able to supervise others effectively and truly enjoys working with families and children of various Frost Valley programs.

Requirements

  • Oversee accurate and efficient day-to-day operations of the Camp Registration. This would include but is not limited to calls, emails and mailings
  • Effectively supervise a Guest Services Associate
  • Create and implement registration procedures such as handling payments, data entry, maintaining files and records; keeping confidential paperwork secure
  • Be a primary point of contact for parents of resident campers; answer questions, provide information regarding items such as transportation, logistics, dates, etc.
  • Input registrations for summer camp programs; this includes registrations and payment received by mail and phone and also assisting parents to register online
  • Managing transfers, cancellations, and waitlists
  • Work with the Guest Services Director to create and implement a system for billing and collection of payments in a timely manner
  • Work with the finance department to reconcile revenue and account receivables
  • Oversee and create systems to track and organize camper paperwork such as forms, permission slips, etc.
  • Be on top of deadlines such as payment and form deadlines. Create and implement parent contact around such deadlines
  • Responsible for accurate, complete, concise reporting tools
  • Work with Camp Directors to create and follow seasonal calendars for scheduled correspondence, follow up and deadlines for registrations, payments, partnership and financial aid
  • Work with Campbrain to manage our online database registrations
  • Oversee registration of partner agencies and collection of registration materials
  • Responsible for communication with Camp Directors in regard to registrations
  • Coordinate transportation for all Resident Camp Programs. This involves booking and confirming all buses
  • Assist Camping Services with Financial Assistance Program
  • Book tours or open houses
  • Assist with organizing and executing mailings
  • Be available to work events as needed (i.e. open houses, check-in, check-out, etc.). This may include working evenings and weekends
  • Attend staff meetings
  • Offer help and assist with any other duties as assigned for the success of Frost Valley

QUALIFICATIONS

  • Bachelor’s degree in a related field or equivalent work experience
  • Experience working with reservations/registrations in a recreation or youth development setting
  • Strong customer service background; be professional
  • Possess excellent communication and organizational skills
  • Strong computer skills and experience with Google Workspace, Camp Brain or equivalent experience
  • Be a strong leader and work well with a team of others
  • Be able to multi-task and handle pressure well

RATE OF PAY $45,760.00 annualized, (position is paid hourly), plus generous benefits
