Job Description:

The Registration Coordinator position provides medical office support including check-in and some check out functions. Manage the reception of patients within the office and by telephone. Obtains patient insurance and demographic information, collects co-pays, payments, and schedules internal appointments, etc.

ESSENTIAL FUNCTIONS

· Answers the telephones and greets patients in a courteous, efficient manner. Routes calls/messages to appropriate discipline/department

· Follows policy and procedures outlined by management to ensure standardization of processes across all clinics.

· Conducts patient check-in, following policy and procedures.

· Properly tracks patients in EMR for next location and ensures patients are not missed.

· Obtains pre-patient registration, demographic and insurance information and enters appropriately into Patient Management System (PM) or Electronic Medical Record (EMR) Including all paper/electronic documents.

· Verify and update patient demographics.

· Scan documents into Electronic Health Record

· Collect patient photographs, scan insurance cards (and notify insurance auth coordinators), and documents/obtains signatures on necessary forms as needed.

· Ensures eligible patients have proper distress screening.

· Ensure accurate and timely completion of all MIPS Merit-based Incentive Payment System) requirements for providers.

· Collects co-payments and/or payments at time of service and manages end of day procedure to include daily deposit, petty cash reconciliation, and sign in sheets.

· Ensures canceled/no show and missed appointments are followed up and properly documented.

· Schedules internal patient appointments and makes walk-in appointments, i.e., Nurse triage.

· Demonstrates excellent customer service. Responds promptly to patient, physician, manager, clinic, and other department requests.

· Distribute outbound correspondence, including dictated notes and letters to referring offices.

· Communicates to other staff members using Instant Messaging System

· Scans documents into Electronic Medical Record

· Ability to travel/float to other clinics for business needs.

· Maintain and ensure confidentiality of patient information.

· Adheres to all Surgical Division policies and procedures.

· Other duties as assigned.

KNOWLEDGE, SKILLS & ABILITIES:

  • Strong knowledge of front office operations, including patient registration, scheduling, insurance verification, and payment collection.
  • Excellent customer service and communication skills to assist patients, providers, and staff in a professional and courteous manner.
  • Strong attention to detail and organizational skills to ensure accurate data entry, documentation, and patient tracking.
  • Proficiency in Electronic Medical Record (EMR), practice management systems, and basic Microsoft Office applications.

· Ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and compliance with HIPAA standards.

EDUCATION & EXPERIENCE:

· High school graduate or equivalent with GED

· 2 years of previous professional office experience is required.

· Computer skills including Windows file management and MS Office, and e-mail experience is preferred.

· Good verbal, listening, and written communication skills.

· Ability to work productively and effectively in a fast-paced environment.

· Strong organizational skills and attention to detail

· Excellent customer service skills

Tennessee Oncology’s in house pharmacy, Park Pharmacy, stocks oncology and hematology medications not readily available at community retail pharmacies. A URAC accredited Specialty Pharmacy, Park provides insurance and benefits investigation, prior authorization services for insurance coverage, co-pay assistance through manufacturer or foundation programs, extensive medication education, and access to a pharmacist 24 hours a day, 7 days a week.
