Job Summary:

Responsible for centralized student registration by assisting parents, reviewing documents for accuracy, answering questions, and entering and maintaining accurate student records. Provide oral interpretation for parents who speak Spanish and translate department documents from English to Spanish. Provide administrative support to the department by performing a variety of secretarial and clerical tasks as assigned, including preparing documents, reports, and materials; receiving visitors; answering and routing phone calls; and creating, maintaining, and/or submitting forms, files, reports, statistics, and paperwork.

Essential Duties and Responsibilities:

  • Assist parents with student registration in English and Spanish. Answer questions, review documents for accuracy, and enter data into student database. Refer families to appropriate district departments for special education consideration. Register new students.
  • Provide resources and supports for registered students and families who qualify as Highly Mobile Students to include Foster, McKinney-Vento, and Chronically Absent Students. Communicate with school Wrap Around Service teams to ensure continuity of care.
  • Update student demographic data in student database.
  • Operate computer equipment and various software to prepare a variety of documents, correspondence, reports, and/or other materials. Duties may require word processing, creating spreadsheets, creating and distributing employee identification and access badges, etc.
  • Receive visitors and answer and route telephone calls to appropriate staff members.
  • Develop, update, and maintain forms and files for use in the Registrar's office, which may include preparing registration packets, maintaining files of Intent to Homeschool forms, DHS Notice of Placements, McKinney-Vento Qualifications, etc.
  • Assist Student Support Data Manager with federal/state reporting; submitting official student transcripts to secondary education institutions; verifying student education for background inspections; and/or preparing truancy paperwork to include notice of non-compliance, petition, and summons.
  • Translate department documents from English to Spanish.
  • Compile attendance, statistical and other information to include special and periodic reports as required by the department, District, and state.
  • Provide oral interpretation services from English to Spanish and Spanish to English for district level and school-specific needs. Proofread other written translations and provide feedback.
  • Perform other duties as assigned.

Education, Training and Experience:

  • High school diploma or equivalent.
  • Two years of secretarial, clerical, accounting, and/or general bookkeeping experience preferred.
  • Criminal background check and District fingerprinting required.

Skills, Knowledge and Equipment:

  • Advanced English language, bilingual in Spanish: fluent in speaking, reading and writing, interpersonal relations, customer service, public relations, and organizational skills.
  • Intermediate personal computer, keyboarding, word processing, basic math, accounting, critical thinking, and problem solving skills.
  • Ability to maintain confidentiality in all aspects of job and manage multiple priorities and tasks with frequent interruptions.
  • Ability to promote and follow Board of Education Coherent Governance Policies, District Policies and department procedures.
  • Ability to communicate, interact, and work effectively and cooperatively with people from diverse ethnic and education backgrounds.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment, and report unsafe conditions to the appropriate administrator.
