Job Description

The Senior Associate Registrar plays a pivotal role in the Office of the Registrar, overseeing key functions such as degree audits, graduation processing, transcript evaluations, and maintaining the integrity of academic records. This position provides strategic support to the Registrar and serves as the primary liaison with academic advisors and departments to resolve complex student issues related to graduation and transfer credits. The Senior Associate Registrar is responsible for enhancing processes, ensuring regulatory compliance, and mentoring junior staff. This is an on-campus/ in person position.

Primary Responsibilities

  • Degree Audits: Lead the evaluation of student progress toward degree completion, ensuring accuracy and efficiency.
  • Graduation Processing: Manage the review and approval of graduation eligibility, resolve discrepancies, and enforce adherence to academic policies.
  • Student Case Management: Act as the primary point of contact for academic advisors and departments on complex student cases and graduation requirements.
  • Transcript Evaluation: Oversee transcript review and evaluation to ensure compliance with graduation and transfer credit requirements.
  • Policy Development: Develop and maintain policies and procedures related to transfer credit evaluation, degree audits, and graduation processing.
  • System Collaboration: Partner with IT and Systems Support to maintain and enhance degree audit software and reporting tools.
  • Record Integrity: Ensure the accuracy and compliance of academic records in accordance with institutional, state, and federal regulations.
  • Process Optimization: Continuously review and refine workflows to improve the efficiency of graduation and audit processes.
  • Institutional Representation: Represent the Registrar's Office on committees and working groups related to student success and academic policies.

Qualifications

Required

  • Education: Bachelor's degree from an accredited institution (Master's degree preferred).
  • Experience: Minimum of 5 years of progressive experience in academic records, degree audits, and graduation processing in higher education.
  • Knowledge: Strong understanding of academic policies, curriculum requirements, and degree structures.
  • Technical Skills: Proficiency in Student Information Systems (SIS), degree audit software, and data reporting tools.
  • Analytical Abilities: Excellent analytical skills with a focus on data integrity and attention to detail.
  • Organizational Skills: Exceptional project management and organizational abilities.
  • Communication: Strong interpersonal and communication skills for collaboration with academic advisors, faculty, and institutional stakeholders.
  • Leadership: Experience in leading and mentoring staff.

Salary: $70,000 - $75,000

Preferred

  • System Expertise: Experience with system implementations or upgrades related to degree audits and student records.
  • Compliance Knowledge: Familiarity with higher education compliance requirements (FERPA, state, and federal regulations).
