In the course of a year, we provide more than 3,000 children, ages 6 weeks through Pre-K with high-quality literacy and STEAM-infused learning; give 58,000 youth and teens access to sports, aquatics, day and resident camps, teen leadership development programs, and employment opportunities; provide over 200,000 members with programs, services, and facilities to enjoy connection and maintain wellness regardless of age; and engage over 25,000 volunteers and donors from across Atlanta to share in the gift of supporting their communities.

NATURE AND SCOPE:

Under the direction/guidance of the Youth Development Director, theRegistrar will serve as the primary point of contact for parent communications, camp registrations, and collections This position willbe responsible formaintainingrecords andassistingwith registration for all camp families and programs. The registraris responsible formaintaininga professional and organized office environment. 

RESPONSIBILITIES (including, but not limited to):

  • Collect and enter financial, assessments, and scholarship information based on the association scale and collaboratewith the Youth Development Directorto meet the needs in the case of extenuating circumstances.

  • Support and/or is directly involved in the sale of program registrations.

  • Directly enter registrations for campers, sell program memberships, invoice firstpayments,and send a confirmation receipt.

  • Adjust and record scholarships related to special grants.

  • Set up programs inTraction Rec (as needed), according to association guidelines, activating programs for registration. 

  • Manage set-up for credits, refunds,and adjustments in the system based on changes withassociationdirection.

  • Help create the grids and waitlists that will be used to place as many campers into camp as possible.

  • Serve as a liaison between office staff, program, and directorsregardingupdates/changes to the roster andparticipantinformation.

  • Take steps to build committed and connected relationships with members, volunteers, and collaborative partners.

  • Manage communication with Childcare Assistance Program Administration and CAPS recipients including review of application submission, certificate processing, collection of participant attendance, filing records with CAPS and tracking receipts.

  • Serve astheprimary point of contact for familiesregardingprogram registration, financial aid,andcancellationinformation.

  • Provide excellent service to members and program participants over the phone, contributing to member retention.

  • Directly handle and resolve registration concerns andinformdirectorsof unusual situations or unresolved issues.

  • Check and report overall attendance each morning.

  • Maintain branch and association certifications in CPR, Metro Atlanta YMCA New Staff Orientation and BranchEmergency proceduresand any other required certifications and/or training required by the Metro Atlanta YMCA

  • Maintain and report incident/accident paperwork.

  • Achieve all requiredTraction Rectraining as assigned.

  • Maintain privacy requirements by not sharing personal information about members including, but not limited to, phone numbers, addresses, program participation, financial information, or personal situations.

  • Adhereto andimplementall policies and procedures listed in the training manual as new policies are implemented.

  • Communicate in a positive manner with members, guests, programparticipants,and volunteers.Provideappropriate assistanceas needed.

  • Attend all staff meetings and training courses, asrequired

REQUIREMENTS:

  • High School Diploma or GED 

  • 1+ years of experience working with children in a structured setting 

  • Must be at least 18 years of age 

  • Must have or be able to obtain within the first30 daysof employment First Aid/CPR; must obtain any other certificationsrequiredfor the position 

  • Must have a good understanding of Microsoft Office and be well-versed in basic computer software.

  • Excellent interpersonal, written, and verbal communication skills. 

  • Ability to handle multiple tasks, work independently, problem-solve,andpossesseffective time management skills. 

  • Strong customer service skills and personal commitment to service and hospitality. 

  • CPR within30 daysof employment andmaintainthroughout employment 

  • Exemplify YMCAideals andleadership qualities. 

  • Must pass Bright from the Start (BFTS) background check

WORK ENVIRONMENT & PHYSICAL DEMANDS:

Bending, stooping, standing, lifting, seeing, hearing, keyboard input, sitting.
