The Work
The Registered Nurse III (Non-Clinical Case Manager) provides comprehensive non-clinical case management services in support of Soldier readiness, wellness, and deploy ability. In this role, the RN coordinates all aspects of care for individual Service Members, ensuring proper utilization of services and resources and providing assistance within, between, and outside of organizational medical facilities.

Responsibilities
- Support medical readiness, wellness, and deployability initiatives.
- Provide case management services in support of fluctuating workloads (surge and contingency requirements) as well as the steady-state mission, utilizing the core staff and flexible scheduling to prioritize critical cases during high‑volume periods.
- Establish and maintain an eCase profile for Service Members referred by a provider; eCase profiles shall be established no later than one (1) workday after provider referral.
- Provide a monthly report consisting of all cases and the status of each case regarding Service Members’ care from the identification of the condition to when the Service Member is either:
- Considered medically ready, or
- Administratively separated from the military.
- Ensure that all medical charting is accurate, complete, and timely. All encounters with Service Members (e.g., phone calls, emails, in‑person meetings) and all newly received medical documents (e.g., lab results, civilian provider notes) shall be fully documented and uploaded into the appropriate system of record (e.g., eCase, MEDCHART) no later than three (3) business days following the date of the encounter or the date the medical information was received.
- Update and validate records and systems to ensure Service Members with MRC3 and DRC3 profiles are entered into the eCase module. Provide a monthly report showing the number of profiles initiated, extended, and closed.
- Maintain automated referrals indicated in MEDCHART and provide monthly reports on cases adjudicated.
- Submit case processing, medical documentation, and profile concerns to military and/or contracted providers.
- Educate Service Members on resources available to improve medical and dental readiness.
- Prepare Service Member records for and attend MEB/PEB boards.
- Review and reconcile hardcopy and electronic case information for file completeness.
- Provide eCase information updates to board members on assigned cases.
- Complete record reconciliations and file preparation no later than one (1) workday prior to scheduled boards.
- Ensure all medical documentation is received, scanned, and filed in the appropriate electronic record (e.g., MEDCHART) and the Service Member’s hard‑copy record.
- Provide the Records Custodian or delegate with all relevant medical/dental documentation.
- Upload medical documents of case‑managed Service Members into the Health Readiness Record (HRR).
- Stamp all medical documents for verification after uploading.
- Communicate with delegated government personnel to track compliance versus noncompliance during monthly case reviews.
- Communicate, verbally and in writing, to confirm Service Members understand their responsibilities regarding medical documentation submission, attendance, and communication requirements.
- Obtain releases of information to request records from primary care providers (PCPs).
- Provide information to Service Members about their privacy rights and obtain signed consent forms.
- Request profile examinations/evaluations and audiology exams at designated physical exam centers.
- Coordinate Service Member treatment plans with appropriate medical facilities.
- Communicate with the Service Member’s unit of assignment regarding scheduled medical appointments.
- Track appointment status to ensure attendance and submission of follow‑up documentation.
- Assist Service Members in navigating healthcare systems and referrals.
- Maintain Health Insurance Portability and Accountability Act of 1996 (HIPAA) standards and guidelines.
- Participate in quality control, performance improvement, and compliance activities as directed.
- Follow the regulations and policies applicable to Individual Medical Readiness (IMR) and deployment, to include AR 40‑35, AR 40‑66, AR 40‑501, AR 40‑502, and other applicable guidance.
- Become familiar with and observe installation regulations, including fire, traffic, safety, and security requirements while on the installation.
- Maintain professional appearance and personal conduct at all times.
- Attend meetings as requested.
- Other duties as assigned.
Qualifications

- Active Registered Nurse (RN) license in good standing in the State of Vermont; a multi‑state Nurse Licensure Compact (NLC) license with privileges to practice in Vermont is acceptable.
- Completion of an accredited nursing program.
- Minimum of two (2) years of relevant clinical or case management experience.
- Due to the nature of work at the client’s facility, U.S. citizen is required.
- Tier 1 background investigation; may require additional background checks at any time during employment.
- Proficiency with electronic medical records systems and Microsoft Office applications.
Minimum Skills Required:
- Must possess problem-solving skills.
- Exceptional communication skills, both oral and written
- Ability to respond effectively to customers with a sense of urgency.
- Proficient in Microsoft and Adobe toolsets, including Excel, Word, PowerPoint, Acrobat, etc.
- Highly motivated with the ability to handle and manage multiple tasks at any one time.
- Ability to forge new relationships, individual and teaming in nature.
- Must be a Self-starter, that can work independently and as part of a team.
Desired Qualifications:
- Bachelor of Science in Nursing (BSN) highly preferred.
- Previous experience within the Military Health System (MHS) or working with military medical readiness systems (e.g., MEDCHART, MEDPROS, MHS GENESIS).
- Experience in case management, care coordination, utilization management, or military healthcare.
- Additional certifications such as Certified Case Manager (CCM) preferred.
- Proficiency in Microsoft and Adobe toolsets.

Reports to: Program Manager
Working Conditions
- Professional office environment.
- Core hours: Monday–Friday, 0730–1630.
- Attendance at Soldier Readiness Program (SRP) and Periodic Health Assessment (PHA) events as required; this may require flexible working hours, including weekends.
- May be required to travel for mobilization and related events.
- Situational telework may be authorized in support of Continuity of Operations Planning (COOP), contingent on mission needs.
- Must be physically and mentally able to perform duties extended periods of time.
- Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
- Must be able to establish a productive and professional workspace.
- Must be able to sit for long periods of time looking at computer screen.
