Job Description

Department: Reg of Deeds

Pay: $17.04 per hour

Work Schedule: M-F 8-5

Provide customer service and information to citizens pertaining to real estate documents. Update and maintain the ROD RMS database. Work with the department to maintain and update data for use by the public and other land records departments.

Maintain and Update Data in RMS

  • Process documents pertaining to land records that meet statutory requirements
  • Review previously indexed and verified documents for errors and correct as needed
  • Work with department to ensure data entered into RMS is accurate
  • Communicate with other land records offices when document processing is completed
  • Export data to other Land Record Departments
  • Record and retrieve DD214 military service records upon request

Utilize RMS, GIS, Aumentum, Nexus Payment Systems, and Other Programs

  • Utilize GIS website to locate parcels and assist customers with copies or questions
  • Use Nexus Payment systems to process payments for document copies or recordings
  • Use Grantor/Grantee Books and film readers to retrieve and copy documents for customers
  • Assist with retrieving less complex documents from vault archives

Assist the Public by Phone and In-Office

  • Provide copies of recorded documents upon request
  • Assist with questions regarding recording requirements and provide resources
  • Use knowledge of the Passport process as a certified Acceptance Agent and schedule appointments
  • Serve as backup to the Program Officer for the Military Discount Card
  • Learn and operate functions with the Program Officer for Passport services, DD214 filing, and issuing Veteran & Military Discount Cards

ROD Deputy II - $17.04/hr

Minimum Qualifications: HS diploma/GED; 2 yrs money handling/bookkeeping/banking; in-house training; MS Office; Registrar discretion.

Preferred Qualifications: 3 yrs experience; passport/eRe training; phone experience.

ROD Deputy III - $17.89/hr

Minimum Qualifications: HS diploma/GED; 3 yrs experience; in-house, passport, eRe training; MS Office; Registrar discretion.

Preferred Qualifications: 4 yrs experience; in-person customer service; phone experience.

ROD Deputy IV - $18.79/hr

Minimum Qualifications: HS diploma + business coursework; 4 yrs experience; all in-house, Passport, eRe, Customer Service training; MS Office; Registrar discretion.

Preferred Qualifications: 5 yrs experience; cross-trained in all areas; specialized backup training.
