Regional Store Coordinator, Atlantique (Benin Republic)

Location: Benin Republic

Reporting To: Operations Manager, Francophone, West & Central Africa

Location Cotonou, Benin Republic.

About the role
This role sits within the Operations function and directly reports to Operations Manager, Francophone, West & Central Africa. The Regional Store Coordinator role is to oversee stock management in the company’s retail centers and with field agents. The Regional Store Coordinator will work closely with the operations team. The role involves significant travel within the country.

What you would be expected to do

Store Coordination
  • Coordinate daily and weekly stock reconciliations between systems and physical stock in Sun King stores.
  • Coordinate stock returns from Sun King stores to the central warehouse in Cotonou.
  • Ensure that stock movements in Sun King stores adhere to international stock management standards – FIFO.
  • Ensure that stock in Sun King stores is labeled and properly stacked according to international stock management standards.
  • Conduct physical inventories of shops monthly/quarterly (Saleable stock and replacement products).
  • Conduct regular audits in stores.
  • Verify the accuracy of weekly inventory/marketing reports for the region and forward the report to the HQ operations team.
  • Follow up on stock losses or unexplained discrepancies in stores and ensure Sun King Store Executives file police reports if necessary.
System Stock Movements
  • Initiate stock transfers within Sun King stores as approved by the Operations Manager.
  • Ensure that stock assigned to field agents from Sun King stores is properly labeled in stock management systems.
  • Audit stock management systems to ensure all transactions are correctly recorded. This includes, but is not limited to, returns to the central warehouse.
Field Stock Management
  • Coordinate stock recovery initiatives with agents in the station region.
  • Ensure that stock allocation to field agents complies with the maximum holding limits indicated by the process.
  • Ensure that field stock levels in the station regions reflect sales trends and field agents’ productivity.
Training and Mentorship
  • Ensure that Sun King Store Executives are well trained in stock management policies.
  • Coordinate the onboarding of assistant Sun King Store Executives when opportunities arise.
  • Ensure that Sun King Store Executives are well trained in using stock management systems.
  • Monitor Sun King Store Executives in the region to ensure they maintain store stability and reputation by complying with legal requirements.
  • Ensure proper processes are strictly followed by Sun King Store Executives (SSEs) in respective regions.
  • Ensure Sun King Store Executives in the regions fully comprehend their duties and roles.
  • Ensure compliance with safety, health, and environmental standards.
  • Any other tasks assigned by your supervisor.

You might be a strong candidate if you

  • Holds a degree or Higher Diploma in Supply Chain & Operations Management, from a reputable institution.
  • Has the ability to work with distributors, sales teams, and sales agents to ensure smooth distribution operations.
  • Can collect sales data and use this data to forecast and plan stock levels.
  • Has excellent hands-on experience using computer tools (Excel / Macros / V-lookup/ X-lookup / Charts / Pivot tables) for business purpose and Reconciliations
  • Is comfortable working with and maintaining large volumes of data in Excel.
  • Has excellent communication skills.
