Job Description

Grant Thornton is seeking a Regional Office Manager to join the team in Boston, MA.

The Workplace Solutions (WPS) Regional Office Manager (ROM) is responsible for ensuring that memorable and personalized office experiences for both GT colleagues and guests are fostered and executed in our offices. The ROM will oversee and support more than one office and will manage office services colleagues in those locations, where applicable. The ROM will work closely with the Market Managing Partner (MMP) or Partner-in-Charge (PIC) in those respective offices to become their trusted business partner with culture building and social engagement. Due to the responsibilities and physical presence required for this role, there is a 5-day in-office presence needed.

The ROM will be well-versed in policies and procedures and will be able to actively discover new ways to do the job more effectively and efficiently.

Responsibilities:

The Regional Office Manager will handle the following responsibilities for their respective office, and will ensure that these responsibilities are carried out successfully in the other offices they oversee:

  • Office Management

    • Communicate firm-wide and local office information as directed or needed.
    • Provide oversight and administration of the Eptura workspace reservation system and adherence to the firm’s hoteling policies:
      • Serve as the local resource in assisting colleagues and teams with identifying work and meeting space, especially when the office is at capacity and creative thinking is required.
    • Serve as the in-office representative for new hire onboarding.
    • Partner with other functional areas and adhere to applicable firm procedures (i.e. GTech, Firm Security, Procurement, Real Estate and Facility Services, Finance, Accounts Payable, etc.)
    • Serve as the accounts Payable/Authority to Approve processor, in alignment with national and regional guidelines.
    • Adhering to the firm’s retention policies, own and manage the office’s client files and records management initiative.
    • Partner with the MMP/PIC or designees, to plan, coordinate, communicate and support officewide initiatives and events.
      • Proactively communicate office and team successes, challenges and solutions upward to the Director.
  • Facility Management
    • Develop and manage all building relationships, including the management team, security, engineering, and outside vendors.
    • Ensure office appearance is an organized, clean, well-stocked, welcoming environment for all colleagues and visitors.
    • Liaise with IT resources to ensure that all tech equipment is always operational.

  • Colleague Engagement
    • May supervise and coach office services colleagues as part of the in-office administrative team:
      • Drive the performance and professional development process through coaching, mentoring and training.
      • Meet regularly with individuals on the team to assess workload, understand challenges, and align administrative team’s skill set with internal client’s expectations and overall business requirements.
    • Oversee and enthusiastically participate in the personalized customer service delivery model each day by walking and observing the office throughout the day, engaging with colleagues.
    • Consistently and proactively solicit feedback from colleagues regarding in-office experiences, focusing on areas that need attention.
    • Surpass customer expectations by prioritizing and determining the best approach to meeting their needs, personalizing their experience, and solving issues before or as they arise.
    • Collaborate with other functional areas to assist with the coordination and execution of various activities (i.e. People & Culture, Marketing, Learning & Development, etc).
    • Participate in our ROM-specific discussions and proactively share feedback, suggestions and solutions.

Requirements:

  • Bachelor’s degree preferred or equivalent work experience
  • 5+ years of strong supervisory experience
  • Strong facilities management experience
  • Excellent communication skills, both verbal and written
  • Proficiency in Microsoft Office Suite
  • Excellent, proactive customer service skills
  • Highly attentive to detail and well-organized
  • Effective time management skills to meet deadlines
  • Ability to work individually or in a team environment
  • Ability to manage confidential information
  • Ability to anticipate and manage ambiguity and change
  • Self-motivated and have the capacity to take on additional responsibilities as needed

The base salary range for this position is between $95,000 and $125,000. Placement within the pay range is at Grant Thornton’s discretion, and it is based on multiple factors, including but not limited to, job -related knowledge/skills, experience, business needs, progression within the role, geographic location, and internal equity.
