Job Title: Regional Fleet Manager
Department: Fleet Management Operations
Reports To: Director of Fleet Operations
The Regional Fleet Manager will join an established fleet team and play a critical role in supporting Helix Traffic Solutions' continued growth and operational success. Working alongside existing team members, this individual will be overseeing fleet operations, asset tracking, equipment utilization, vendor performance, and cost management initiatives across the organization.
This role requires regular collaboration with operating companies throughout the Helix network to understand operational needs, coordinate asset utilization and transfers, and ensure consistency in fleet management practices. A key focus of this position will be identifying and implementing cost-saving opportunities through improved asset utilization, vendor negotiations, maintenance management, process improvements, and data-driven decision-making. The Regional Fleet Manager will be expected to continuously evaluate fleet-related expenses and develop strategies to improve efficiency, reduce costs, and maximize the value of company assets while supporting field operations.
Core Responsibilities
1. Fleet Strategy & Planning
• Develop and execute regional fleet strategies that align with corporate goals (cost control, uptime, safety).
• Forecast fleet growth, replacement cycles, and total cost of ownership (TCO).
• Plan vehicle redeployment, reassignment, and disposal timing.
2. Maintenance, Repair & Lifecycle Management
• Oversee preventive maintenance programs to reduce breakdowns and extend service life.
• Approve major repairs, warranty claims, and recall handling.
• Monitor repair shop performance (internal and external vendors).
• Coordinate with parts/inventory logistics to ensure availability and minimize downtime.
• Evaluate vehicle performance using telematics, diagnostics, and KPI metrics.
• Recommend optimal replacement schedules based on utilization, maintenance cost, and residual value.
3. Operational Efficiency & Cost Control
• Use telematics systems (e.g., Samsara, Holman) and fleet software to monitor utilization, fuel use, idle time, maintenance trends, and driver behavior.
• Identify and implement cost-saving initiatives (fuel optimization, route planning, preventive maintenance).
• Benchmark regional performance against corporate or industry standards.
• Conduct regular field audits of shops, technicians, and vehicles to verify standards.
• Standardized processes across units (inspection checklists, reporting, documentation).
4. Leadership & Team Oversight
• Manage, mentor, and coach regional fleet supervisors, coordinators, and technical staff.
• Conduct performance reviews, training, and development plans.
• Lead weekly or biweekly meetings with business units to review metrics, corrective actions, and priorities.
• Act as an escalation point for issues in the region.
• Collaborate closely with operations, safety, procurement, finance, and HR functions.
5. Reporting, Analytics & Communication
• Produce and deliver monthly, quarterly, and annual KPI dashboards (maintenance costs, uptime/downtime, cost per mile, utilization, compliance).
• Analyze trends, variances, and root causes, and recommend corrective actions.
• Present findings and forecasts to corporate leadership.
• Maintain a continuous improvement mindset; propose process improvements and innovation.
Key Qualifications:
• Bachelor’s degree in Logistics, Business Administration, Transportation Management, or a related field (preferred but not required).
• Proven experience in fleet management, logistics, or operations, with at least 2-3 years of experience in a similar role.
• Strong understanding of fleet management software and GPS telemetry tracking/safety systems.
• Knowledge of vehicle maintenance, safety protocols, and fleet regulations.
• Knowledge of DOT standards in fleet health & maintenance
• Strong communication, and problem-solving skills.
Desired Skills:
• Strong organizational and project management abilities.
• Ability to work under pressure and handle multiple tasks simultaneously.
• Proficiency in fleet management systems, data analysis, and reporting.
Work Environment:
• Primarily office-based with regular visits to fleet sites or maintenance facilities.
• Occasional travel to supplier or vendor locations may be required.
• Flexible working hours may be needed to address fleet emergencies or operational issues.
