Job Description

POSITION OVERVIEW

The Reductions Team Lead runs the function that determines how much of every settlement actually reaches our clients. You will supervise a team of reductions and lien resolution specialists, personally handle the largest and most complex lien files, and own the metrics that measure our performance — aggregate reduction rate, net-to-client percentage, and time from settlement to disbursement.

This is a negotiation role with a management layer on top. Every dollar your team takes off a medical balance, a hospital lien, or a health plan’s subrogation claim is a dollar that goes to an injured client instead. You will set the standard for how hard those negotiations are pushed, hold the team to it, and step in personally when a provider or plan will not move.

KEY RESPONSIBILITIES

  • Lead the team. Supervise, train, and evaluate a team of reductions and lien resolution specialists. Assign files, manage workload distribution, run regular file reviews, and develop the team’s negotiation skills.
  • Own the numbers. Track and report aggregate reduction percentage, dollars saved, aging, and settlement-to-disbursement turnaround. Identify where the team is leaving money on the table and fix it.
  • Negotiate the hard files. Personally handle high-balance, high-complexity, and escalated reductions where the provider or plan has refused to move at the specialist level.
  • Resolve statutory and plan liens. Direct the resolution of Medicare conditional payments and Medicare Secondary Payer obligations, Florida Medicaid (AHCA) claims under Fla. Stat. § 409.910 including the administrative challenge process, ERISA and self-funded plan reimbursement claims, TRICARE and VA claims, and hospital and provider liens under applicable county ordinances.
  • Manage letter of protection balances. Negotiate LOP balances with treating providers and maintain documentation consistent with Fla. Stat. § 768.0427 disclosure requirements.
  • Apply the collateral source framework. Analyze health insurance payments, PIP benefits, and other collateral sources under Fla. Stat. § 768.76 to establish the correct reimbursement exposure before negotiating.
  • Build provider relationships. Establish and maintain working relationships and, where appropriate, standing reduction arrangements with high-volume providers, facilities, and lien resolution vendors.
  • Partner with the attorneys. Give trial and pre-suit attorneys accurate, timely lien exposure figures so they can evaluate settlement authority and advise clients on net recovery.
  • Protect the client experience. Ensure clients understand their closing statement and that disbursement is accurate, documented, and prompt.
  • Improve the process. Standardize templates, escalation paths, and negotiation playbooks; recommend and help implement case management system and workflow improvements.
  • Maintain compliance. Ensure every file satisfies trust accounting, Florida Bar, and firm documentation requirements before funds are released.

Qualifications

REQUIRED QUALIFICATIONS

  • Minimum of four (4) years of experience in medical lien resolution, reductions, or settlement negotiation at a personal injury firm, lien resolution company, or healthcare recovery vendor.
  • At least one (1) year of experience leading, training, or formally mentoring a team.
  • Demonstrated track record of negotiating meaningful reductions on medical balances and liens, with the numbers to support it.
  • Working knowledge of Medicare Secondary Payer rules and conditional payment resolution.
  • Working knowledge of Florida Medicaid third-party recovery and the AHCA lien process.
  • Familiarity with ERISA plan reimbursement claims and the practical difference between self-funded and fully insured plans.
  • Understanding of Florida PIP and the collateral source framework as it affects reimbursement exposure.
  • Strong command of settlement math — gross to net, attorney fees and costs, pro rata allocation, and common fund and made-whole considerations.
  • Excellent written and verbal communication; able to be firm with providers and plainspoken with clients.
  • Proficiency with legal case management software and spreadsheets.

PREFERRED QUALIFICATIONS

  • Bilingual English/Spanish, spoken and written.
  • Experience at a high-volume Florida plaintiff personal injury firm.
  • Experience negotiating with hospital systems and large provider groups in the South Florida market.
  • Paralegal certificate, or a bachelor’s degree in a related field.
  • Experience building or refining a reductions workflow from the ground up.
  • Familiarity with Medicare Set-Aside considerations in third-party liability settlements.
