Rocksteady Music School is the UK’s largest rock and pop school. We teach fun and inclusive in-school band lessons to primary age children. Our mission is simple: to amplify children’s self-belief and remove barriers to music education. We’re currently in thousands of schools in the UK, teaching over 120K children every week, and recently launched in Australia – and we’re growing fast.

Our offices in Liphook and Birmingham are home to many of our central office teams. From there, we all play our part in supporting our band leaders to reach as many children as possible with their lessons. That’s what gets us out of bed in the morning!

We’re now looking for a Recruitment Operations Specialist to join our Recruitment Team and play a key role in driving the effectiveness of our recruitment operations, ensuring data-led decision making, efficient workforce planning and an exceptional experience for candidates and stakeholders. As Recruitment Operations Specialist, you'll be the driving force behind the smooth running of our recruitment operations, ensuring candidates, hiring managers, facilitators and schools receive a professional and positive experience throughout the hiring process, identifying opportunities for improvement and providing meaningful insight to help the Recruitment department meet important business goals.

We're looking for a highly organised, proactive and solutions-focused individual who enjoys balancing multiple priorities, communicating with a wide range of stakeholders and keeping recruitment activity running efficiently across the country.

As a Recruitment Operations Specialist you will:

• Coordinate and book staff, facilitators and venues for hiring events and activities across the UK.
• Forecast capacity and anticipate potential resource or scheduling challenges before they arise.
• Support automation initiatives and explore how AI and technology can strengthen day-to-day operations.
• Spot and roll out improvements to processes, systems and ways of working that drive efficiency and consistency.
• Manage the recruitment phone line, handling candidate queries professionally, sharing information about our vacancies and process, and passing messages to the right colleagues.
• Manage the shared inbox, answering messages and directing them to the relevant colleagues.
• Manage and take ownership of job postings, candidate records and set up within the Applicant Tracking System (ATS).
• Produce and analyse performance reports, flagging trends, risks and opportunities to improve hiring outcomes.
• Monitor key metrics including time-to-hire, conversion rates, source effectiveness, pipeline health and capacity.
• Support the wider team with administrative and operational tasks as needed.

As Recruitment Operations Specialist you'll need:

• Previous experience in a coordination, operations or administrative role
• Experience coordinating workloads, schedules or capacity in a fast-paced setting, with the ability to anticipate demand and plan activity around it.
• Experience with Applicant Tracking Systems (ATS) and advanced Excel skills, including data analysis and reporting
• Excellent written and verbal communication skills, including confidence on the phone and over email.
• Curiosity about emerging technology and AI tools, and an interest in using automation and data to work smarter.
• Exceptional organisational and prioritisation skills, with the ability to juggle multiple projects, competing deadlines and shifting business needs.
• Strong analytical and problem-solving skills: able to spot trends, diagnose root causes and put practical solutions in place.
• Comfortable working independently as well as collaborating within a team.
• High attention to detail and a commitment to accuracy, plus real confidence using systems, databases and technology platforms.
