Job Description

About a role:

The Recruitment Coordinator supports the recruiting team, candidates, and internal customers throughout the recruitment process for employees, including apprentices and interns. The role works closely with HR Business Partners, recruiting teams, agencies, and candidates to filter resumes, schedule interviews, conduct follow-ups, prepare offer letters, and ensure a smooth onboarding process. Provides excellent customer service to internal stakeholders and candidates.

Key Responsibilities:

  • Design or assist in designing job requisitions in collaboration with HR Business Partners and internal customers
  • Manage job postings across internal and external platforms (job boards, apps, media)
  • Source and attract candidates using databases and sourcing tools
  • Filter and pre-screen resumes and conduct pre-selection interviews (video or phone)
  • Coordinate the end-to-end recruitment process for selected candidates
  • Schedule interviews and manage logistics with candidates, recruiters, and managers
  • Support assessment and mandatory checks processes when applicable
  • Prepare job offer letters and contracts in collaboration with HR and ensure timely approvals and signatures
  • Inform non-selected candidates and manage talent pool agreements
  • Ensure approvals and compliance with recruitment procedures and workflows
  • Process apprenticeship agreements with schools and administrative requests
  • Manage onboarding activities in cooperation with HR admin and training teams (data, documentation, trainings, equipment)
  • Provide support and guidance to new joiners and managers and organize trial period follow-ups
  • Ensure compliance with recruitment policies, maintain documentation, and support audits (SOx)
  • Generate reports, track hiring plans, agency usage, and recruitment KPIs
  • Maintain databases, reports, and recruitment systems, improving processes where needed
  • Build and maintain talent pipelines and candidate databases
  • Contribute to recruitment campaigns (content, channels, messaging, events)

Requirements & Competencies:

  • Bachelor’s degree in HR or similar areas (Preferred fields of study: Human Resources, Business Administration, Management Assistance)
  • Experience: 1–3 years of experience in recruitment or a similar role
  • Fluent in French and English (spoken and written)
  • Good understand of MS Office / Office 365, HRIS systems, Workspace platforms
  • Strong communication skills, ability to interact with multiple stakeholders and provide clear updates
  • Strong planning and organizational skills with ability to prioritize and align work with business needs
  • Attention to detail and ability to manage data accuracy and recruitment documentation
  • Ability to ensure compliance with recruitment policies, procedures, and audit requirements
  • Customer-focused mindset with ability to build relationships and deliver high-quality service
  • Analytical skills with ability to track data, generate reports, and support decision-making
  • Capability to manage recruitment processes end-to-end, including sourcing, screening, coordination, and onboarding
  • Ability to manage multiple priorities, improve processes, and act in a proactive and result-driven way
