
Recruitment Administrative Specialist
The Recruitment Administrative Specialist serves as a key contributor within a centralized Talent Acquisition Shared Services function, enabling efficient administrative processes, including requisitions, postings, scheduling, offer creation, reporting, and onboarding coordination, ensuring an efficient and seamless hiring experience.
• Partner with Hiring Manager to create job requisitions in the Applicant Tracking System (ATS)
• Support with the development of job descriptions when applicable
• Ensure requisitions meet approval, compliance, and data quality requirements
• Maintain accurate requisition status, job codes, locations, cost centers, and hiring details
• Close, repost, or update requisitions as needed
• Post and manage job advertisements across internal and external platforms
• Manage offer approval processes and documentation
• Prepare offer letters, tracking acceptances, and start dates
• Coordinate pre-employment activities such as background checks, drug screens, and onboarding hand offs
• Manage Recruitment reports, KPI’s & Statistics
• Support recruiters with interview scheduling when needed
• Bachelor’s Degree in related field
• 1-3 years of experience in Recruitment support activities (requisitions, interview scheduling, background and medical checks, onboarding, reporting). Shared Services or high-volume operations experience preferred
• Strong understanding of end-to-end hiring processes
• Familiarity with ATS systems (Workday, Taleo, SuccessFactors, Greenhouse, etc.)
• English proficiency is a must
• Excel skills (pivot tables, graphics, database management)
• Highly organized and detail-oriented
