How This Role Impacts Live Oak and its People

The Recruiting Operations Coordinator is a key member of the Recruiting team responsible for coordinating and executing critical recruiting and onboarding operations that help attract, hire, and welcome top talent to Live Oak. This role partners closely with candidates, hiring managers, recruiters, and cross-functional teams across the Bank to deliver an exceptional candidate experience while ensuring hiring and onboarding processes are efficient, compliant, and well executed. Through strong attention to detail, proactive communication, and operational excellence, this individual helps position Live Oak as an employer of choice and supports the Bank's continued growth and success.

What You’ll Do at Live Oak

Interview Scheduling & Candidate Experience

  • Deliver exceptional communication and support to candidates, recruiters, and hiring managers throughout the recruiting lifecycle.
  • Champion a best-in-class candidate experience by providing guidance, scheduling support, timely updates, and proactive issue resolution from application through hire.
  • Coordinate and lead all interview logistics, ensuring a high-quality experience for candidates and interview teams.
  • Manage candidate travel and onsite interview experiences, proactively addressing scheduling changes and serving as the primary host and coordinator onsite.
  • Lead logistical planning and execution for Campus Recruiting initiatives and Summer Internship Programs, partnering with stakeholders to deliver a seamless participant experience.
  • Assist with ad hoc coverage for the People Business Partner and the People Operations teams as needed (exit interviews, termination documentation, VOE’s reporting, etc.).

Onboarding, Recruiting Operations & Process Improvement

  • Facilitate the pre-hire onboarding process, partnering across Recruiting, People, Learning & Development, IT, Security, and hiring teams to ensure a compliant, efficient, and positive transition to employment.
  • Serve as the main point of contact for candidates related to onboarding, providing timely updates, guidance, and proactive issue resolution.
  • Partner across the People team and key business stakeholders to strengthen culture, improve service delivery, and ensure efficient, compliant handoffs throughout the hiring process.
  • Serve as the primary operator of contractor onboarding processes and support compliant and effective Recruiting vendor relationship management.
  • Execute end-to-end employment background screening by reviewing results and supporting documentation to ensure compliance with company policies, regulatory requirements, and hiring standards.
  • Ensure all pre-hire requirements are completed accurately and within established service-level expectations prior to start date approval.
  • Act as a subject matter expert for pre-hire onboarding operations, translating process knowledge into clear documentation, tools, and best practices that drive consistency, compliance, and efficiency.
  • Process vendor and agency invoices, ensuring timely payment and accurate recordkeeping.
  • Support internal and external audit requests to ensure regulatory compliance and operational readiness.
  • Maintain a strong understanding of financial services regulatory and compliance requirements, including BSA, AML, CIP, and OFAC, ensuring recruiting and onboarding processes align with organizational standards and controls.

Required Experience

  • 2+ years of professional experience in a role requiring strong attention to detail, time management, organization, and support of internal or external customers.
  • Demonstrated ability to handle highly confidential and sensitive information with the utmost discretion and professionalism.
  • Strong administrative and technical proficiency, including experience working with business systems and Microsoft Office applications.
  • Exceptional organizational skills with the ability to manage multiple priorities, deadlines, and process-driven workflows.

Preferred Experience

  • Experience with Microsoft Outlook, Workday, or similar HRIS and applicant tracking systems.
  • Exposure to staffing agency agreements, contract amendments, and contractor engagement terms.
  • Experience with pre-employment screening programs, including background checks, employment verifications, and compliance-related hiring requirements.
  • Knowledge of recruiting, onboarding, and vendor management processes within a regulated or compliance-focused environment.
  • Demonstrated ability to identify process improvements and implement solutions that enhance efficiency, compliance, and the overall candidate experience.
  • Bachelor’s degree in Human Resources, Business Administration, or a related field.

EEO is the Law

The base pay range for this position is $19.77 - $32.12 per hour. Compensation may also include annual bonuses and long-term incentives, subject to various metrics and company policy. A candidate’s salary is determined by several factors including travel, relevant work experience or skills and expertise.
