Position Summary
The Recruiting & Onboarding Coordinator is a key member of our Human Resources team, responsible for owning the full-cycle recruitment process across all company locations and service lines. This role serves as the primary point of contact for hiring managers and candidates throughout the recruitment lifecycle, with a primary focus on sourcing and placing advanced practice providers (APPs), licensed therapists, and administrative staff. In addition to recruitment, this position coordinates and monitors new hire onboarding activities to ensure a smooth, compliant, and welcoming transition into the organization.
Key Responsibilities
Full-Cycle Recruitment
- Manage end-to-end recruitment for all open positions across multiple states, including advanced practice providers (PMHNPs), licensed therapists (LCSWs, LPCs, LMFTs), associate clinicians (LPC-As, LMFT-As) and administrative/support staff
- Partner with hiring managers to establish ideal candidate profiles and set realistic hiring timelines
- Source candidates through job boards (Indeed, LinkedIn, etc.), professional associations, school partnerships, and referral networks
- Screen resumes, conduct phone screens, and coordinate structured interview processes with clinical and operational leadership
- Manage candidate communications throughout the process, ensuring a positive and professional experience from first contact through offer
- Extend verbal and written offers; negotiate compensation within approved pay bands
- Track all open requisitions, candidate pipelines, and hiring metrics in the applicant tracking system (ATS)
- Develop and maintain provider-specific sourcing strategies to build a robust pipeline of licensed clinical talent
Onboarding Coordination
- Serve as the central point of contact for new hire onboarding logistics, ensuring all pre-employment steps are initiated promptly upon offer acceptance
- Assign onboarding tasks to new hires and relevant internal stakeholders (IT, credentialing, clinical supervisors, billing)
- Monitor task completion and proactively follow up with new hires and department leads to address outstanding items prior to the start date
- Coordinate licensure verification, background checks, and credentialing documents for licensed clinical staff
- Ensure all required state-specific employment documentation is collected and properly filed in compliance with multi-state regulations
- Facilitate new hire orientation scheduling and ensure completion of required training modules, compliance courses, and policy acknowledgments
- Serve as a resource for new employees during their first 30-90 days, answering HR-related questions and connecting them with the right contacts
- Continuously evaluate and improve onboarding workflows to reduce time-to-productivity and improve new hire satisfaction
Cross-Functional Collaboration & Reporting
- Collaborate with credentialing, compliance, payroll, and clinical operations to ensure seamless transitions from candidate to employee
- Maintain accurate records in the ATS and HRIS; generate regular recruiting and onboarding status reports for HR leadership
- Track key metrics including time-to-fill, offer acceptance rate, and onboarding completion rates
- Assist with workforce planning by providing data-driven insights on hiring trends and pipeline health

Work Environment & Physical Requirements
- Primarily hybrid with occasional travel to company locations as needed
- Prolonged periods of sitting and working at a computer

Qualifications
Qualifications
- High School Diploma or GED; Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field (or equivalent combination of education and experience) preferred
- Full-cycle recruiting experience, preferably in a healthcare, behavioral health, or multi-site environment
- Demonstrated experience recruiting licensed clinical providers (therapists, NPs, PAs, or similar) strongly preferred
- Proficiency with applicant tracking systems (ATS) and HRIS platforms
- Strong organizational skills with the ability to manage multiple open requisitions and competing priorities simultaneously
- Excellent written and verbal communication skills; professional and empathetic interactions with candidates and new hires
- Ability to exercise discretion and maintain confidentiality with sensitive employee information
- Comfortable working independently in a hybrid environment across multiple time zones
