About the Position:
The Recruiting & HR Operations Coordinator is primarily responsible for driving fast, accurate, and consistent recruiting execution across the organization. This role owns the day-to-day coordination of the hiring process, ensuring positions are posted quickly, candidates are screened and moved efficiently, and hiring managers are supported with a high level of responsiveness and follow-through.
In addition to recruiting, this role supports key HR operational processes including compensation tracking, job description management, reporting, and select employee programs. Success in this role is defined by speed, accuracy, organization, and the ability to keep multiple processes moving without drop-off.
This is a highly execution-focused role ideal for someone who is detail-oriented, process-driven, and thrives in a fast changing environment where accountability and follow-through are critical.

Essential Duties and Responsibilities:

Recruiting Coordination & Execution (Primary Focus)
- Prepare and post requisitions through Paycom and other platforms with urgency and accuracy.
- Review and screen applicants against basic qualifications and role requirements.
- Coordinate and schedule interviews quickly and efficiently, minimizing delays in the hiring process.
- Maintain consistent, professional communication with candidates and hiring managers.
- Partner with hiring managers and HR leadership to move candidates through the process with speed and clarity.
- Coordinate with external recruiting agencies for designated roles and ensure timely follow-up.
- Maintain accurate and up to date tracking of all open requisitions within the ATS.
HR Operations & Reporting
- Maintain and update open positions and headcount reports, ensuring accuracy and visibility for leadership and Regional Vice Presidents (RVPs)
- Administer eNPS and employee surveys, track participation, and compile results for HR leadership and RVP review.
- Coordinate new hire and termination tickets, ensuring all required steps are completed accurately and on time.
- Develop and maintain position-based onboarding and requisition checklists (e.g., equipment, system access, business cards, credit cards, driving requirements)
- Support general HR tracking and reporting needs, ensuring data is accurate and up to date.
Compensation & Job Documentation Support
- Maintain and update the internal compensation workbook, including updates for new roles, employee transitions, and approved pay range changes.
- Ensure compensation data is accurate, organized, and consistently formatted for ease of use.
- Draft and format job descriptions for new and existing roles, ensuring consistency, clarity, and alignment with company standards.
- Maintain and update job description records as roles evolve or new positions are created.
- Ensure all job postings align with approved job descriptions and compensation structures.
Employee Programs & Engagement Support (Secondary)
- Coordinate the Employee of the Quarter program, including nominations, communication, and documentation.
- Support internal communications such as employee announcements and recognition updates as needed.
- Assist with logistics for employee engagement initiatives and HR programs.

QualificationsEDUCATION:
High School Diploma or equivalent required. Bachelor’s degree in Human Resources, Business, or related field preferred, or equivalent experience.
REQUIRED KNOWLEDGE AND SKILLS
- 2-4 years of experience in recruiting coordination, HR administration, or a related role.
- Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously.
- High attention to detail and commitment to accuracy in all work.
- Strong written and verbal communication skills with a professional tone.
- Demonstrated sense of urgency and ability to move work forward without reminders.
- Ability to follow through on tasks independently with minimal supervision.
- Proficiency in HRIS/ATS systems (Paycom a plus) and Microsoft Excel.
- Ability to handle confidential information with discretion and professionalism.
- Process oriented mindset with a focus on efficiency and continuous improvement.
Performance Expectations
- Job Postings are completed within 24-48 hours of approval.
- Candidates are reviewed and moved through the process within defined timelines.
- Interview scheduling is completed promptly with minimal delays.
- Reports (open positions, headcount, survey tracking) are consistently accurate and up to date.
- Compensation and job description documentation is maintained with high accuracy and organization.
- Minimal follow-up required from HR leadership to ensure task completion.
PHYSICAL DEMANDS:
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
- Light to moderate physical effort that includes frequent standing or walking or maintaining arms and hands in the same position for repetitive tasks. Frequently works with light objects and light hand tools.
