Job Description

The Recruiting Coordinator is responsible for the hiring process which includes transitioning candidates through the recruitment process to onboarding new hires. This position is a key role of Recruiting and is an integral part of the candidate experience. Partners closely with the Recruiting team, hiring managers, and candidates in a high-volume environment.

Responsibilities:

  • Manages the background and reference check process for prospective employees.Coordinates and processes pre-employment background checks through a third-party vendor, serving as the primary point of contact between candidates and the vendor. Monitors progress to ensure completion, answers questions, and troubleshoots escalated issues to direct hiring manager. Maintains background check log to ensure accuracy and consistency.
  • Processes offer letters for prospective employees and ensures appropriate offer language is used based on position, department, and pay-bands. Obtains approval on offer letters prior to distribution, ensures timely receipt of signed offer letters, and uploads completed documents into the online Applicant Tracking System (ATS).
  • Manages the job requisition process to ensure all required approvals and documentation are received, maintains the job ad recruiting profiles in the Applicant Tracking Systems (ATS), and verifies accuracy of requisitions prior to creation. Works closely with hiring managers and department heads to resolve recruiting issues.
  • Tracks and manages temporary employees placed through staffing agencies. Reviews and obtains approvals for invoices.
  • Ensures interview candidates receive and complete an employment application and coordinates the onboarding and scheduling of new hires.
  • Creates and distributes weekly and ad-hoc recruitment reports
  • Assists at job fairs, recruiting events, and open houses.

Requirements:

  • High school diploma or GED required.
  • Bachelor’s degree in human resources, HRMS, Business, or a related field preferred.
  • Minimum (3) years of office administration required.
  • Experience working in human resources, recruiting, staffing, or administrative preferred.
  • Minimum (2) years of experience of Applicant Tracking Systems required; Workday experience preferred.
  • Knowledge of state and federal employment laws relating to key areas of responsibility.
  • Working knowledge of Microsoft Office (Excel, Word, Outlook, PowerPoint) required.
  • Working knowledge of background service vendors preferred.
  • Excellent verbal and written communication, planning, and organizing skills.
  • Strong problem-solving skills.
  • Ability to maintain confidentiality at all times.
  • Ability to work in a team environment.
  • Ability to pay close attention to detail.
  • Ability to adapt and be flexible to a changing environment.

Compensation

The anticipated pay range/scale for this position is $25 - $27 Hourly. Actual starting base pay within this range will depend on factors including geographic location, education, training, skills, and relevant experience.

Additional Compensation

This position is not bonus-eligible.
