Summary

Performs data entry and reviews criminal reports, arrests, citations, warrants, supplements, and field interviews ensuring all data is accurate and complete.

Examples of duties

  • Copies arrest reports, supplements, and criminal incidents (CI) for the courts, probations, and internal processing.
  • Scans arrest reports into appropriate report.
  • Maintains copies of departmental arrest files.
  • Utilizes National Incident-Based Reporting System (NIBRS) in order to code criminal incidents (CI) to track offenses.
  • Codes and files fingerprint cards and those that are sent off to the state for reporting purposes, ensuring that pertinent information is complete.
  • Verifies active warrants, performs research for warrant validation list, researching inconsistenciesand making corrections.
  • Verifies that every document linked to any given case is correctly scanned, in appropriate order, accurate and complete.
  • Processes reports for filing or archiving.
  • Rescinds recalled warrants.
  • Process and scans misdemeanor citations, traffic citations, and warning.
  • Prepares warrants for entry into Spillman.
  • Contact courts confirming warrants are still valid.
  • Files and maintains warrant information.
  • Places holds on wanted persons, advising other police agencies if a defendant is to be held for officers to pick up.
  • Prints reports containing criminal history and non-criminal history.
  • Assist the public with records, such as incident reports and arrest record reports.
  • Collects money for records and fingerprints.
  • Answers phone inquiries involving location of records, explaining procedures to the general public or providing information to other law enforcement agencies.
  • Processes insurance company requests, requests from attorneys, and other agencies.
  • Retrieves and enter information from the various criminal justice information systems to assist officers and respond to requests from other law enforcement agencies.

Qualifications

MINIMUM QUALIFICATIONS

Education and Experience

Graduation from high school or GED equivalent required. Previous public contact experience preferred.

Knowledge, Skills, and Abilities:

  • Knowledge of Standard Microsoft Software, WordPerfect, and Quattro Pro.
  • Ability to learn Application Extender software.
  • Ability to obtain knowledge of police procedures, rules, and regulations.
  • Ability to communicate effectively both verbally or in writing with citizens.
  • Ability to maintain confidentiality of matters related to the department at all times.
  • Ability to perform duties with a high degree of attention to detail with a high degree of accuracy.
  • Ability to establish and maintain effective working relationships with Police staff, various other agencies and general public.

Licensing and Certifications:

Valid state issued driver’s license.

Ability to obtain NCIC (Six months from date of hire, annually thereafter).
