Job Description

The Operations Specialist is responsible for the daily mail process at the Charleston Operations Center in Charleston, WV. This includes the timely preparation, sorting and delivery of mail to and from the Charleston facility to various locations. Also, assisting with imaging documentation into the institution’s official system of record, FCM.

RESPONSIBILITIES:

• Daily deliveries to and from local branch, customers, vendors and/or post office, as needed
• Sorting of incoming mail for various departments and locations
• Manually inserting contents into envelopes to be mailed out
• Applying postage to outgoing mail using Pitney Bowes postage meter
• Prepare, log and apply postage to checks to be delivered to vendor and mailed out
• Preparation and processing of all mail sent to and from the Operations Center via UPS, USPS and any other delivery services
• Processing of returned mail, including preparation, scanning and archiving into FCM
• Completing the returned mail workflow process
• Cover for staff at other locations (Parkersburg, WV & Tysons, VA)
• Preparation and processing of correspondence and non-machinable mail
• Ordering of postage and supplies necessary for daily production
• Prepare, scan and index deposit and loan documents into FCM
• Other duties as assigned

Qualifications

SKILLS AND QUALIFICATIONS:

• High School diploma or equivalent required
• Must have a valid driver’s license in good standing
• Ability to work at other locations (overnight/multiple days required)
• Excellent communications skills
• Ability to multitask and work in a fast-paced environment with strict deadlines
• Demonstrated ability to be highly organized, diligent and detail oriented
• Proficient knowledge of Windows environment and MS Office applications (Excel, Word, Outlook, etc.) required
• Demonstrated ability of being self-motivated and dependable required

ESSENTIAL FUNCTIONS:


  • Sitting for extended periods of time.

  • Sufficient dexterity of hands and fingers to efficiently operate a computer keyboard, mouse, and other computer components.

  • Ability to converse and exchange information with all levels of staff within organization.

  • Ability to observe, perceive, identify, and translate data
  • Ability to travel up to 25% of the time to Parkersburg, WV and Chantilly, VA
